I'm new to Power Apps and learning. I appreciate this community and the feedback I get. Thank you in advance.
I'm working on a small project for my department. I'm trying to create a rudimentary database out of SharePoint lists. I have pieces of equipment that need to be inventoried and entered into the SharePoint lists. There are multiple lists involved. Some are for vendor contacts, while other lists are for the computer and equipment specifications.
Examples of lists: (primary list) for recording IDs of sub-lists, a list for vendor contacts (sub-lists), a list for computer specifications (sub-lists), and a list for equipment specifications (sub-lists).
I've started developing a wizard-style form to populate each list. My issue is I'm not sure how to get these lists to link automatically.
Let me elaborate. The way I think this should work is, that the first form (primary list) contains look-up fields for all the following forms. These lookup fields should capture the ID fields of the following forms (sub-lists) in the wizard.
The IDs feilds of the following forms should be AUTOMATICALLY populated in the first form (primary list). Making the first form (primary list) the linkage between records in the lists.
I'm not sure how to get the ID field of the following forms (sub-lists) to auto-populate in the first form (primary list) first, to create the relationships in the first form (primary list).
The first form (primary list). this form populates the primary list. The list on the back end has look-up fields that look up the ID field of the following lists.

I just thought of a question, is there a way to create a submit button at the end of the wizard that will submit multiple forms in a specific order?
For example, Form 1 is filled out (except item IDs from the following forms), Form two filled out, Form 3 filled out, then that user hits the submit button. Then Form 3 is submitted first, Form 2 is submitted second, then the IDs Forms three and two are populated into form 1, and then form one is submitted.

Yes, but you would want to chain them using the OnSuccess action formulas of the form.
Example: Form3 OnSuccessAction:
Set(glbForm3Data, Self.LastSubmit);
SubmitForm(Form2)
Form2 OnSuccessAction:
Set(glbForm2Data, Self.LastSubmit);
SubmitForm(Form1)
Note that all of these are capturing the record that is submitted (that is what LastSubmit provides).
THEN, you can use that in your Form1 for the lookup columns.
However, this part goes into a couple of branches as to how you want to do certain things in your design.
My recommendation is that you have a combobox or dropdown in your Form1 for vendor (and I'll just stick with Vendor for this and for the sake of what I am saying, I will assume that form 2 is the vendor form).
For that control Items property, you would have it set to:
Choices(yourPrimaryList.VendorLookupColumn)
(This will provide a table of Id and Value records to your control)
Then if it is a combobox, set the DefaultSelectedItems property to:
If(IsBlank(glbForm2Data), Parent.Default,
With(glbForm2Data, {Id: ID, Value: Title})
)
(assuming that Title is the column you have defined in your Lookup definition in your list settings)
If it is a dropdown, then the formula on the Default property would be: Coalesce(glbForm2Data.Title, Parent.Default)
That would give you the chain and would also fill in the values appropriately.
Keep in mind though about the visual aspect of this...if you submit all at once, the primary form will NOT have any values filled in until the sub items are submitted. So, if you want it visually to appear as they are completed, then you will need to submit the sub items first.
