I don't see data from table

Hi to all,

I've created a canvas app in PowerApps.

Previously I created a custom Table in PowerApps and populated it with some test data.

After I publish the app, I have some issues with different users.

When I run this app from Microsoft Teams everything is okay, I see all the data that I populate in Table (Gallery).

But when I try to run the same app from Microsoft Teams but with a different user, I don't see data that I populate in a table (Gallery).

I can't find the cause of this situation.

Please help

Hi @ANB

sorry if I caused some confusion with the environment.

Now I double-checked and it's the same environment.

I created the app in PowerApps from the environment that was already created and then I just added a tab inside the Teams channel. I didn't use PowerApps inside Teams.

I'm not quite sure which security role I need to assign to the user and where.

I found that affected user don't have one privilege (System Administrator) which I have.

When I gave this security role (Power Platform admin center->Environments->Settings->Users->Manage security roles) my app show all data for affected user.

I am very concerned if this privilege (System Administrator) is for the end user. Is it possible to give to end user low priority privilege, but which?

Hi @DejanLazarevic , Thanks for the clarification. These small small things you should mentioned in your first post about how you created app etc, which avoid the confusion and save time for both the requestor as well as for the community member who is trying to help you.

And as mentioned that this was related to access issue which can be sorted by assigning the proper security role to affected user.

Now, System Administrator is the most highest privilege that a user can have and it should not be given to end user if they are not admin.

So to resolve this issue, you being the admin you need to make sure that you create new custom security role and assign this new security role to end user. example: New Basic User role. Please follow below steps:

  1. When you are in Power Platform Admin Center, click on Environment in which the app resides.
  2. Then click on Security Roles as shown below:
  3. ANB_0-1703997968463.png
  4. Then click on basic user security role.
  5. Copy security role as shown below:
  6. ANB_1-1703997969502.png
  7. Give the new name as New Basic User and click Copy as shown below:
  8. ANB_2-1703997968273.png
  9. Once new security role is created, then search for New Basic User role.
  10. Then search for your new table. If you do not find the your table, then make sure that you select "Show all tables". In my example the name of table in New Table which will be available in Custom Tables section.
  11. ANB_3-1703998443017.png
  12. Then for this table as shown in above screenshot, make sure that Create, Read, Write and Delete is set to Organization.
  13. Then Save the changes and instead of system administrator, assign this new security role to user.

I hope this helps.

Hi @DejanLazarevic , When you say custom Table, does that mean Microsoft Dataverse table for Teams? If yes, then does this app is shared through any Persona? The user who is facing this issue should have minimum security role assigned and that can be done through adding them to persona:

Please check this: https://learn.microsoft.com/en-us/power-platform/admin/about-teams-environment#user-access-to-datave...

Hi @ANB

Thanks for your answer.

I have created table in the PowerApps environment.

DejanLazarevic_0-1703956120115.png

I can't find these options to change what you mentioned in your reply.

Hi @DejanLazarevic , How are you sharing the app to other user? Also how you are accessing the app from Microsoft Teams. I need to understand these things and then I can give suggestion. The above suggestion if for apps created in Microsoft Teams by using Power Apps.

Thanks,

ANB

Hi @ANB

This is how I share this app:

DejanLazarevic_0-1703957364680.png

And this is how users use it through Teams.

DejanLazarevic_2-1703957663796.png

I, as a creator of this app, see all data (yellow framed) but other users don't see any data in yellow framed part.

@DejanLazarevic ok! You need to make sure that you assign the security role to other user to table. So while sharing the app, you should get an option like this:

ANB_2-1703959188117.png

In my test app, I have used accounts data verse table and giving Environmental security role work for me.

So, reshare the app and make sure that data source is also shared to end user.

I hope this helps.

Hi @ANB

I already have these privilege:

DejanLazarevic_0-1703968146416.pngDejanLazarevic_1-1703968176250.pngDejanLazarevic_2-1703968209512.pngDejanLazarevic_3-1703968251431.png

and situation is same.

But in meantime I found this:

DejanLazarevic_4-1703968449172.png

Maybe it could be reason for this situation for environment in which I put this app.

Hi @DejanLazarevic, The affected user should also have security role assigned. Can you confirm about the environment in which your TestAppIT reside and the one that you have shown in above screenshot are same environment?

Also, I want to clarify that Dataverse for Teams environments are automatically created for the selected team when you create an app in Teams using the app for the first time or install an app from the app catalog. More information: About the Dataverse for Teams environment.

please confirm that the app is created on Microsoft Teams? Did you followed this: https://learn.microsoft.com/en-us/power-apps/teams/create-first-app

OR

You created an app from environment which was already created and then you just added a tab inside Teams channel?

Thanks,

ANB
