Not all data is carrying over from forms

Having a major issue with an app I built to collect inventory schedule data.

I have one Sharepoint list and need to collect two different types of schedules within this list. Each schedule has about 3-4 entries so I've got separate columns for all.

The first screen allows the user to select their location from a drop-down list which is linked to the Sharepoint datasource.

The second screen has a few drop-down options to select the first type of schedule.

The third screen has a few drop-down options to select the second type of schedule.

The fourth screen is a confirmation screen where I carry data over from the previous screens. I've also added a Return button that brings them back to the first screen if they want to make any changes.

The first time I run through the app, the confirmation screen is blank, none of the data I entered is there. When I use the Return button, I can start from the beginning (none of the submitted data was retained) and when I get to the confirmation screen, my new data is there, but when I open the Sharepoint list, the location is missing and all I have are schedules. The location that they selected from the first screen is not being written to the Sharepoint list.

Screen #2 (first schedule type options)

Next button OnSelect: SubmitForm(nameofthisform)

Form OnSuccess: Navigate(nameofthirdscreen)

Form Item: nameofgallery.selected

Options selected on this screen are successfully added to the Sharepoint list, but the store name that was chosen in the first screen does not carry over.

Screen #3 (second schedule type options)

Next button OnSelect: SubmitForm(nameofthisform)

Form OnSuccess: Navigate(nameoffourthscreen)

Form item: nameofgallery.selected

Options selected on this screen are successfully added to the Sharepoint list, but the store name that was chosen in the first screen does not carry over.

Any ideas what I'm missing? I'm still fairly new to PowerApps, I've created others to collect data before, without this issue, but it was just one edit screen instead of two.

Thank you in advance!

Hi @Zowbro ,

Does the Edit form in Screen2 and Screen3 connect to same SP List data source?

Based on the issue that you mentioned, I agree with @Anonymous 's thought almost. You do not enable the Location field within the Edit form in Screen2 and Screen3, and you do not provide any value for the Location field within the Edit form, so when you submit your form data from Screen2 and Screen3, the Location field would be Blank().

If you want to submit your form data along with the selected Location value within the BrowserGallery1, I think the Patch function could achieve your needs.

Set the OnSelect property of the ">" icon in your Gallery or OnSelect property of your Gallery to following:

Set(SelectedLocation, BrowseGallery1.Selected.Result)

Set the OnSelect property of the "Next" button in Screen2 to following:

Patch('Your SP List', Defaults('Your SP List'), EditForm1.Updates, {Location: SelectedLocation});
If(
   IsEmpty(Errors('Your SP List')),
   Navigate(Screen3);Refresh('Your SP List')
);
ResetForm(EditFrom1)

Set the OnSelect property of the "Next" button in Screen3 to following:

Patch('Your SP List', Defaults('Your SP List'), EditForm2.Updates, {Location: SelectedLocation});
If(
   IsEmpty(Errors('Your SP List')),
   Navigate(Screen4);Refresh('Your SP List')
);
ResetForm(EditFrom2)

In addition, if you want to eliminate duplicated Locations, please consider modify your formula as below:

Sort(
     Distinct(
              Filter(Jan20Inventory, District = DistSelect.SelectedText.Value),
              Locations
     ),
     Result,
     Ascending
)

Please consider take a try with above solution, then check if the issue is solved.

@Zowbro

Share some code and screenshots of what's happening. This will help us work out what's going on

First screen contains the data that isn't being carried over (Northeast/NYC Metro/selected location).

App1.jpg

Second screen contains the first schedule type options. The selected times are received properly by the Sharepoint list.

App0.jpg

Third screen contains the second schedule type options. The selected times are received properly by the Sharepoint list.

App2.jpgapp3.jpg

Below is the Sharepoint list that carries over the times selected but not Region/District/Location.

@Zowbro

I appears to me that the Location/Region/District data isn't part of the Form and hence not getting submitted. Have these datacards been removed from the Form or are they just hidden?

If it's the former, then you'll need to add those datacards back to the form and if you don't want to see them then just hide them.

Thanks! Now I've created another problem for myself.

I've been manually entering the missing fields by figuring out where the end user is based. Now I'm seeing stores listed multiple times. I know I can use Distinct somehow but can't get the syntax right. Here is my Items formula in the gallery. The column name I want to eliminate duplicates of is called Locations.

Sort(Filter(Jan20Inventory,District=DistSelect.SelectedText.Value),Location,Ascending)

Do you want to see Distinct values in your dropdown or your gallery?

For that code you've supplied you could try using Distinct like this:

(whoops) Edit: Sort(Distinct(Filter(Jan20Inventory,District=DistSelect.SelectedText.Value), Location).Result,Location,Ascending)

Let me know if this works or not as I haven't tested it.

Thank you much! I also had an issue with my forms where separate Sharepoint entries were being added, DefaultMode was set to New instead of Edit. Everything's working great now, just need to clean up all the duplicate entries from the Sharepoint list.

Looks like I don't know as much as I thought about Powerapps (and I only thought I knew a little!).

Thanks again!
