Organizing Patched SharePoint Data

Hello PowerApps Community,
I'm building a sort of online shopping cart.

My data source: A SharePoint List that has the item name, details, and quantity

Interface: I'm using PowerApps with a button that patches all items in a collections to a few SharePoint Lists. 
I have a collection "colMyOrder' that collects items users want to check out.
There is a "Quantity" text box where the user can add the items they like
There is an "Inventory" field on SharePoint that has the current number of available items

 

Question: When I patch from SharePoint using the PowerApps collection, each item that I am patching from the Collection creates a new SharePoint List entry(which is fine). I need to find a way for the "Shopping Cart Admin" to easily see what items have been added from what columns and to be able to easily change the status on them from "Open" to "Closed"

*I have created a "CPS Store ID" where all the collection items submitted have the same ID. I can group them in the SharePoint List but if the Admin needs to close them, they'll need to close all of them in that Collection...

Some of my current thoughts:
- Some people say I should create a new SharePoint List that acts as a Parent to the Child relationship 
- Building out another Gallery in PowerApps that returns these value

Could you please share a bit more about your scenario?

Do you want to preview items has been added in your SP List for the "Shopping Cart Admin"? Do you want the "Shopping Cart Admin" to able to change the Status of the submitted item easily in your app?

 

Based on the needs that you mentioned, I think you could consider create a new Gallery in your app, then configure it as Editable Grid, then you could see and edit these items from your SP List easily.

Within the Editable Gallery (connects to your SP List), add a Dropdown control to list the Status value, e.g. "Status" & "Closed", Set the Items property of the Dropdown control to following:

["Open", "Closed"]

Set the Default property of the Dropdown to following:

{
  Value: ThisItem.Status
}

or

{
  Value: ThisItem.Status.Value // If the Status column is a Choice type column in your SP List
}

 

Set the OnChange property of the Dropdown to following:

Patch('YourSPList', ThisItem, {Status: Dropdown1.Selected.Value})

or

Patch(
       'YourSPList', 
        ThisItem, 
        {
          Status: {                                  // If the Status column is a Choice type column in your SP List
                    Value: Dropdown1.Selected.Value

In addition, if you want to close the corresponding item in your 'colMyOrder' collection when the "Shopping Cart Admin" close an item in your SP List, please consider take a try with the following workaround:

Add a "Close" button in above Gallery, set the OnSelect property to following:

Patch('YourSPList', ThisItem, {Status: "closed"});
Patch(
      'colMyOrder',
      LookUp('colMyOrder', Title = ThisItem.'Ordered Item'), // Find specific item in your colMyOrder collection
      {

 Do you create an OrderID? If so, you should be able to see all items associated with each order and Close them out that way. This video presents a way you could do what you want, maybe?

I haven't watched it in awhile but I think the author setups 3 SP Lists ie Products, Order Details and Orders (or in your case Shopping Cart items)

Hey Eelman. Thanks for commenting! The 2 SharePoint List has different ID's so what I did was:
1. Use a function to call the last value in the SharePoint List (Value(Last(Orders).'CPS Store ID') 
2. Increment it from there with some math
3. From there, I had a commmon identifier for both entries

You def gave me some inspiration with the ID's!

Thanks much X-Vida! Your comment was extremely helpful. Your editable grid gave me a good amount of inspiration. I whole grid read only with the exception of allowing users to change the drop down fields.

Patching to drop downs was new to me so your sample code was greatly appreciated.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
