Populate textfield with variable

Hi,

I have a form with a text field in which to display the employee's name.
In the default option of this text field a variable "varUser" is used.
How can I best solve the following issues? (What formulas should I use for this and where should I call these formulas).
- The varUser variable should be filled with Blank in case of a new form
- When editing an existing record (stored in a Sharepoint list), the varUser variable should be filled with the user name from the Sharepoint list. If the name in the Sharepoint list is not filled the varUser must be filled with Blank.

To provide better solution, will you share more details like from which columns you want to set the varUser variables' value?

 

-You can set the "varUser" OnVisible property of the Form Screen (screen on which your form is). Also you can set "varUser" onSelect property of the New, Edit, and View buttons/ Icons.

// Add set function on OnVisible of the Screen or OnSelect of the New, Edit & View icon or button.

- For the text field in which to display the employee's name. Refer this formula to apply on the default property of the text input 

//Default property of Text field Employee
If(FormName.Mode = FormMode.New,"",varUser) //Replace your Forms Name with "FormName"

I have an additional question, how can I populate the VarUser variable with the value stored in column UserName from the selected record in Sharepoint list. Can that also be done in the OnVisible property of the screen?

Hi @Janmas,

Are you using the Powerapps canvas application or SharePoint integration Form from SP List?.
-If you are using gallery to select the record & want to populate in the form then, Onvisible property of the form Screen Set(VarUser, Gallery.Selected.UserName).
-Alternatively, inside the Form for Employee Name text field, set the default property as If(FormName.Mode=FormMode.Edit || FormName.Mode=FormMode.View,ThisItem.UserName)

 

I have an additional question is, What is the type of UserName field? text or person columns?
Also please provide some screenshots from where you select the list item & Screen shots of the form fields (Application in edit mode).

Sorry for the late reply, I was on holidays the last two weeks.

I have attached an example of the Sharepoint list and the Sharepoint integration form from SP List to modify the data. 

This is what I want to achieve:
- When the user selects an item from the SP list the form is opened and the data stored in the SP list is displayed

- The user must be able to edit the data by using the form

- When the user checks the first step as finished: the status must be changed to step 2; the FinishedDate of step 1 must be filled with today; the FinishedBy must be filled with the current user name. When saving the form the data must be stored in the SP list.

- When the user unchecks the first step again: the status must be changed back to step 1; the FinishedDate of step 1 must be blanked; the FinishedBy must also be blanked. When saving the form the data in the SP list must be overwritten by this data.

 

I have tried al lot of options but can't get it working right.

Hi @Janmas,

If you are working with a sharepoint integration, you can declare variable's for events similar to a canvas app. instead of selecting the app, you will select 'Sharepoint integration' at the top of the tree view, then select the 'onEdit' property from the properties dropdown. then in the 'onEdit' property, you can set a variable to whatever you need, set which screen to navigate to, set formmode etc. there is also an 'onView' and 'onNew' property that can be used similarly as well.

Next for checking steps being finished you can set variable's in the oncheck property of the checkbox as follows:

Set(varFinishDate, Now());
Set(varFinishedBy, User().FullName);
Set(varStatus,"step 2");

 same for uncheck, just set the variables you want to be reverted and the value you want them to revert to.

I get some strange things (see screenshots).
- When I Check Finished_Step2 the UserName is displayed in the FinishedBy field but it is not saved to the SP List
- When I open the second item (Process2) the Status field shows Step2 instead of Step1

In the OnEdit of the SharePointintegration I defined:

You have to  Add the Office365Users connection in your app.

Try some codes on DefaultDate and DefaultSelected property of FininshedDate_Step1, Finishedby_Step1, and Status input controls.

//Note: replace colored names with your input controls' actual names, for example. DataCardValue1

 

1. FininshedDate_Step1:   

Property: DefaultDate = If(Finished_Step1.Value = true, Now(),ThisItem.FininshedDate_Step1)
2. Finishedby_Step1:

Property: DefaultSelected = If(Finished_Step1.Value = true, Office365Users.MyProfile(),ThisItem.FininshedBy_Step1)

3. Status:

Property: DefaultSelected = If(Finished_Step1.Value = true, ["Step1"], Finished_Step2.Value = true, ["Step2"],Parent.Default)

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
