Power Apps Licensing

Hi,

 

I am customizing my SharePoint list form using power apps and if a user wants to access this SharePoint list form just to add data ( not to customize list form) needs a power apps license?

 

If yes, does the user requires same type of license with user having customize form capabilities?

Here's the essential section from the licensing guide FAQ.  Take note on the first line that SharePoint customized forms require no PA license.

The same license that’s required for non-guests to run an app. For instance, if the app uses premium connectors, then a Power Apps Per App Plan or a Power Apps Per User Plan must be assigned to the guest.

To use the Power Apps customised form, they would generally need at least E3.

To add to what @WarrenBelz said.  If they are internal user's they should have an Office license that will cover them, otherwise they wouldn't be able to access SharePoint anyway.  And it doesn't need to be an E3.  Even an F1 license has a seeded Power Apps license that covers using customized forms (Although I don't think they can build them.).  Also, MS recently eased up on licensing requirements for customized forms for external users.  They should also be able to access the forms without additional licensing.

That was some new information for me, particularly the easing up of the restrictions on the integrated Power Apps. We share some SharePoint data externally and currently have to use InfoPath forms on the relevant lists.

Watch this space.  It would seem Microsoft are doing it again.  Another grab for cash.  I have been informed by my IT Department that all us 365 (8000) users of PowerApps will very soon lose any access to the program unless they have new license for each user.  This is a significant kick in the guts for me.

I am not sure this will not backfire as there are a lot of developers on this forum that get a living from creating apps for companies that have 365.  Many of you are building a profile on the back of being super users etc,  that may make the value a lot less with this change.

If you look at the dates on the graphic in the article you'll see that all those changes were implemented in October, 2019.  There have been NO announcements of any changes to licensing in 2021, nor even rumors of changes, that would remove the Office 365 "seeded" licenses.  Your IT Department is misinformed.

It was MS that informed them.  I interpret the post 2019 in that graphic to read exactly that - no 365 user have access based on post 2019 and I am believe pre 2019 do (which we are) but that expires when contract are renewed

No 365 based user has access to premium connectors like SQL or CDS (now Dataverse) since October 2019.  But they continue to have access to all the Standard connectors which includes SharePoint and OneDrive.  In fact the one change that has happened in 2021 is the Introduction or Dataverse for Teams which provides a limited version of Dataverse to anyone who has a Teams (Office 365 included) license.  So if anything the licensing has become broader in 2021. I repeat there are no announcements or even rumors that Office 365 users will be losing licensing for Power Apps or Power Automate use of Standard connectors.  Your IT staff either misunderstood what was being said or the salesperson didn't know what they were talking about.  The article is about changes that have been in place for almost 18 months, not something that is being announced now.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
