PowerApp Clear Form.LastSubmit record variable

I have a PowerApp that consists of multiple forms that together create or edit a record on a sharepoint list. The flow currently is

 

Form1 -> Save -> SubmitForm(Form1);Set(currentGrievanceForm,Form1.LastSubmit); -> Navigate to Form2

 

Where each form section has the 'Item' property set to currentGrievanceForm so that the current record is passed between forms in the case that the user is editing an existing record, or viewing a read-only version of the record. The issue that I'm running into is that when I edit a record and then go back and create a new one, the currentGrievanceForm value isn't cleared out so the new record is using the Id of an already saved sharepoint list item. Is there any way to clear out the "currentGrievanceForm" from the main menu of my application when the "New" button is clicked? I've already tried Set(currentGrievanceForm, blank());, but that didn't work. Any thoughts?

Global is fine.  The problem is you showed me a photo with it defined in a screen.

Global variables will not show in a screen like that...they are context variables.

As mentioned you need to click on the GrievanceForm_PatientStatement screen in your variable list, then click on the currentGrievanceForm variable and look at its definitions.  Not the global.

First, your Item property for Form1 needs to include more than the variable.  You need to patch it with all of the other form Updates properties as well.

 

Your Form1 (assuming that is the master form) will need to have the following in the OnSucces action:

Set(currentGrievanceForm, Self.LastSubmit);  ResetForm(Form1)

 

In the OnReset action of your Form1, you should have the following:

ResetForm(Formx); Reset(Formx); etc..

The Formx's should be replaced with the other form names and you should include all the forms that are tied to the master.

 

If you are then trying to create a "new" record, your formula should be:

Set(currentGrievanceForm, Defaults(yourDataSource))

I've gone ahead and added the Set(currentGrievanceForm, Defaults(yourDataSource)) code to the click event of the new button, but if you look at the bottom of the screenshot, next to the Form Mode slider, there's a text label with the value of '73'. This is the last record that I selected to edit. I then went back to the main menu, clicked new, hit that new Set code, and entered the first form section. Upon saving, I added the Set(currentGrievanceForm, Self.LastSubmit);  ResetForm(Form1), but when the form reset, it reset it's data back to the previous form that I had edited rather than the new form. That text label should have also updated with the new Id of the lastSubmit, but It didn't and I'm not quite sure why.

A couple of things: Your form modes should be set to Edit.  You should never call NewForm.  

What is the text property formula for the label with the ID number?

What does your Save OnSelect action formula look like? 

What does your OnSuccess action formula on the form look like?

What's the reasoning for never calling NewForm?

 

Label Text:

currentGrievanceForm.ID

 

Save OnSelect:

SubmitForm(MyForm1);

 

Form OnSuccess

Set(currentGrievanceForm, Self.LastSubmit); ResetForm(MyForm1);

 

New Form OnSelect from Main Menu:

Set(currentGrievanceForm, Defaults(SPList)); NewForm(MyForm1); Navigate(MyScreen1);

NewForm does 2 things 1) creates a Defaults record for itself 2) goes into edit mode.  You cannot access the internal default record.  However, If YOU supply the Defaults for a new record in the Item, then step #1 is done, so...if the form is in Edit mode already, then there is nothing else needed and you now have the default/new record to access.

Note...the above applies to this scenario.  NewForm, in general, is not a bad thing if you have no additional customization of the form control needed.  But, just remember, the NewForm does only those 2 things, so if you supply the new record, you are done if you're in edit mode.

 

So the reason you see the last submitted ID in the label is because that is what you are setting the currentGrievanceForm variable to.

 

Perhaps though I am not understanding your need.  I am reading that you want a New record to be seen when you hit save?  Is that a correct observation?

So when I create a new record, I expect that label to be blank. I expect the currentGrievanceForm to be a brand new record because we're creating a new entry in the sharepoint list. However, when I select "edit" from a gallery view, I expect the currentGrievanceForm to be set to the record that was selected, that way, when the form opens, it is pre-populated with the record we're updating. What I'm seeing is, when I edit a record and save, I go back to the main menu and select "New" to create a new record, but instead of the currentGrievanceForm variable being set to a new record, it's still pointing at the record that was updated, hence the text label showing '73'.

So on the add new record button/icon, Set the formula to:

    Set(currentGrievanceForm, Defaults(SPList)); ResetForm(MyForm1); Navigate(MyScreen1);

 

What does that produce?

Hmmm, that is not making sense.  I am focused solely on the label at this point.  If you set the currentGrievanceForm variable to Defaults then that label should show empty.

So something else is at play here - regardless of the form.

 

So, try this:  Click on your Add New button/icon and then immediately go into the View-> Variables from the menu and look at the contents of the currentGrievanceForm variable record - what does it have in it for ID?

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
