PowerApps multiselect via checkbox for bulk edit to fields in sharepoint list

Hi guys,

 

I'm trying to update multiple values (in both columns and rows within a Sharepoint List) via PowerApps > Checkbox Select. To give some context, I'm tracking the procurement and install dates of materials. I have built out the app to select one material at a time to update the date fields. However, it's a safe assumption that a group of materials will be either procured or installed in bulk. 

 

The user will be able to navigate to "bulk update" & select all applicable matierals in the gallery via a checkbox. Once checked, the user will select a checkmark icon to navigate to a new screen to update either the procurement or install date in bulk. This data will pull back into a Sharepoint list.

Thanks for your feedback. For your first question, the ID column is included within the BrowseGallery1.AllItems formula, it also be included within your 'F&I Tracker' List, when referencing ID column value within your ForAll formula, PowerApps may not recognize where the ID column is from.

We could use RenameColumns function to rename ID column within the result the BrowseGallery1.AllItems formula returned, then you could get rid of the column ambiguous within your ForAll function.

 

For your second question, do you want to pickup a date value for the Procurement and Install date type column in your SP List? Please modify your formula as below:

 

ForAll(
       RenameColumns(Filter(BrowseGallery1.AllItems, Checkbox3.Value = true), "ID", "ID1"),
       Patch(
              'F&I Tracker',
               LookUp('F&I Tracker', ID = ID1),
               {
                   Procurement: DatePicker1.SelectedDate,
                   Install: DatePicker2.SelectedDate
               }
       )
);
Set(IsReset, false);Set(IsReset, true);
Refresh('F&I Tracker');Navigate([@'Home Screen'])

 

Note: I assume that the Procurement and Install are both Date type columns in your SP List. DatePicker1 and DatePicker2 are both DatePicker controls in your New screen for choosing date value for the Procurement and Install.

Follow this procedure:

1. OnVisible of the Screen
    ClearCollect(MyColl,Defaults(YourTable))

 

 2.  OnCheck Of the CheckBox put:

    Patch(MyColl, ThisItem,{Column1:Textbox1.Text,
                                         Column2:Textbox2.Text,
                                         Column3:TextBox3.Text})

3. OnUncheck Of the CheckBox:

   If(ThisItem.ID exactin MyColl.ID, Remove(MyColl, LookUp(MyColl,ID=ThisItem.ID)))

 

4. After you are ok with ticking all the CheckBox, Patch into your Datasource or YourTable using the Button on your Screen outside the Gallery:

     ForAll(MyColl, Patch(YourTable,Defaults(YourTable),

   {DatasourceColumn1:CollectionColumn1,

    DatasourceColumn2:CollectionColumn2,

    DatasourceColumn3:CollectionColumn3}))

Based on the needs that you mentioned, I think the ForAll function and Patch function could achieve your needs. I also agree with @eka24 's thought almost (saving checked item into a collection, then patch the collection back to your SP List).

 

I have made a test on my side, please take a try with the following workaround:

Set the OnSelect property of the "Checkmark" icon to following:

Navigate(NewScreen)

 

Within the New Screen, add a Text input box and DatePicker control for user to enter procurement or picker install date. Add a "Bulk-Patch" button in this new screen, set the OnSelect property to following:

ForAll(
       RenameColumns(Filter(Gallery1.AllItems, Checkbox1.Value = true), "ID", "ID1"),
       Patch(
             'Your SP List',
             LookUp('Your SP List', ID = ID1),
             {
               Procurement: procurementTextBox.Text,
               InstallDate: InstallDatePicker.SelectedDate
             }
       )
);
Set(IsReset, false);Set(IsReset, true)

 

Set the Reset property of the Checkbox in your Gallery to following:

IsReset

Really appreciate the response! I'm a day 1 powerapp novice so bear with me.

 

1. OnVisible of the Screen: I updated the OnSelect of the Gallery with ClearCollect(MyColl,Defaults(YourTable)). Same thing? For awareness, I have the gallery initally filtered by material type then sorted by material ID (unique identifier) using below language for gallery screen: 

SortByColumns(Filter([@'F&I Tracker'],
Material = 'Material DropDown_1'.SelectedText.Result,
StartsWith(MaterialID, TextSearchBox1_1.Text)), "MaterialID", If(SortDescending1, Descending, Ascending))

 

2. OnCheck of the checkbox input: If I'm understanding correctly, when ticking the checkbox, the oncheck should pull into a collection to be updated from the new screen (in this case, updated when the install and/or procurement date is selected). What are the column1:Textbox1:Text? Would that be the SP Column: SP Field: PowerApp Text for that Field? 

 

3. OnUncheck: 10-4

 

4. Patch: Is this skipping a step? Once the user selects via checkbox the materials from the gallery, the user would select an icon (checkmark/button) to navigate to a new screen to update the date of (1) procurement, and/or (2) install. From that point, it would seem that selecting a checkmark/button should patch the data (i.e. material items w/ dates) to the SP list. In this case, should your provided formula be applied to this checkbox?

After selecting materials, user will select a checkmark/button to navigate to the new screen that has a datepicker for (1) Procurement, and a datepicker for (2) Install. For awareness, these are 2 different values, among many other values for a given material. 

 

Once one or both dates are selected, the user will patch info to SP list via a checkmark/button. To patch, you offered the following:

I added "Refresh('F&I Tracker'); Navigate([@'Home Screen'])" . To break this down, few questions:

1. Why are we renaming columns...is this to make up some imaginary powerapp column for the grouped materials? Can you clarify the intent here? Do I make up an arbritary name for ID1 (new column name)? 

2. For the procurement:procurementTexBox.Text -- would this be SP column name: Fieldname: Displayname?

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can.
