PrePopulate fields based on first selection

I have built a Canvas App. In New form I have a question called Is this a new or revised submission ? If the user selects revised than the user will enter a ID of the previous request.  Previous ID is a unique field (lookup column )for each item in a SharePoint Online list ( List Name 'Sales Tracker')

Based on the ID of this request, how can I get the fields to be auto populated ? If its new leave it blank .

Fields that needs to be auto populated 

a: Office ( Choice)

b. Name: ( person or Group)

c. Tracker Number: ( Single line of text)

d. Plan: (Multiple lines of text)

e. Region: ( multiple choice column)

Assuming the user enters the ID in a Text Input control, and you're using separate Button controls for "New" and "Revised", I would use the below on the OnSelect property of the "Revised" Button:

 

EditForm('Your Form);
UpdateContext(
    {
        ctx_record: LookUp(
            'Your Data Source',
            'Previous ID' = TextInput1.Text
        )
    }
)

 

And the below on the OnSelect property of the "New" Button:

 

NewForm('Your Form)

 

And the below on the Item property of your EditForm control:

 

ctx_record

 

If you need to use a Global Variable, use:

 

EditForm('Your Form');
Set(
    gbl__record,
    LookUp(
        'Your List',
        'Previous ID' = TextInput1.Text
    )
)

 

Note - if the "Previous ID" is a SharePoint LookUp column, use:

 

'Previous ID'.Value

@Amik Thank you for your response, I tried using your approach but I am running to a issue. Here is step by step of what I did.

1. User clicks Send a request Button on PowerApps ( Home Screen with Gallery)

2. A pop up appears asking user if its new or Revised

3. When user selects New, it will take them to InitialForm( FormScreen) . There is no issue here.

4. While user selects Revised ( Previous ID and Submit Button shows up ), User selects Previous ID from the dropdown which is a look up column. 

5. When user clicks submit after selecting the ID , it opens up the InitialForm but is blank . The field are not prepopulated.

Formula I have on Submit Button

 

Navigate(FormScreen);
EditForm(InitialForm);
Set(ctx_record, LookUp('My List', 'Previous ID'.Value = DataCardValue164.Selected.Value));
//hide popup after submit
UpdateContext({popUpVisual:false});

 

6. I also set the item Property of the InitialForm to ctx_record.

 

Can you please tell me what am I doing wrong here.

@mssa12345 - could you insert a Label control into your App and confirm a value is being returned:

 

LookUp('My List', 'Previous ID'.Value = DataCardValue164.Selected.Value, "choose any field in your list which is no blank")

@Amik , I inserted a label with the formula above which is 

 

LookUp('My List', 'Previous ID'.Value = DataCardValue164.Selected.Value, Office.Value)

 

When there is no selection of previous ID by default, the office from the 1st item in list is populated. But as soon as I select the Previous ID, the correct office is populated in label.

 

But the form is still blank .

@mssa12345 - If a value is being returned from that test LookUp, then the Solution should work.

 

Here is what I would do if I were to create this solution. See if there's anything in here you might have missed:

 

1. Insert an EditForm control into your screen and configure it as you see fit

 

2. On a different screen, insert a Button control and set the Text property to "Send a request"

 

3. On the OnSelect property of this Button, enter:

 

UpdateContext({ctx_show_pop_up: true})

 

4. Insert a Container control into this Screen

 

5. Add a Button control inside this Container and set the Text property to "Revised"

 

6. On the OnSelect property of this Button, enter: 

 

UpdateContext({ctx_show_revised_ctrls: true})

 

7. Add another Button control inside this Container and set the Text property to "New"

 

8. On the OnSelect property of this Button, enter:

 

NewForm(InitialForm);
Navigate(FormScreen)

 

9. Insert a Dropdown control into this Container

 

10. Set the Items property of this Dropdown to whatever you're currently using

 

11. Add another Button control inside this Container and set the Text property to "Submit"

 

12. On the OnSelect property of this Button, enter:

 

Navigate(FormScreen);
EditForm(InitialForm);
Set(
    gbl_record,
    LookUp(
        'My List',
        'Previous ID'.Value = DataCardValue164.Selected.Value
    )
);
//hide popup after submit

13. Set the Visible property of the Dropdown control and the Submit Button to:

 

ctx_show_revised_ctrls

 

14. On the Visible property of the Container, enter:

 

ctx_show_pop_up

 

15. On the OnVisible property of this screen, enter:

 

UpdateContext({ctx_show_pop_up: false});
UpdateContext({ctx_show_revised_ctrls: false})

 

16. On the Item property of the EditForm, enter:

 

gbl_record

 

 

Notes:

 

There is alternative to using a Global Variable by "passing" Local Context Variable between screens, but I will explain the steps for that once you can confirm these steps work for you.

@Amik I really appreciate your help here, I followed each and every step you mentioned above I am still getting a blank form after I select the Previous ID and hit Submit.

I don't know if this makes any difference, the Column Previous ID is a lookup Column based on another column on same list called Tag# ( which is Single line of text). I only created this lookup so user can select option from the dropdown.

@mssa12345 - so long as the selection from DataCardValue164 returns a LookUp result, then it makes no difference that you've created a LookUp column on a SharePoint list back to the list itself.

DataCardValue164.Selected.Value

 

On a separate note, if you simply want a Single Line Text field to be displayed in a Dropdown/ComboBox, you simply need to set the Items property to your data source.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
