Recognizing reservations of the same item on the same date.

Hello,

 

I have built a reservation app with Power Apps. Now I am trying to further improve it to not allow multiple reservations for the same item on the same day. Is there a way I can compare this with the event on the calendar and the date that is being considered for reservation? My set up right now is I have a dropdown for the selected date of the reservation, along with an in app calendar to view on a separate screen. The problem is multiple people can reserve the same thing on the same day. I am looking for a way to prevent that scenario because this app will actually be used.

 

I assume I will have to extract the subject from the event and compare it to the new subject of the new event and have a condition in which they can not match. I just do not know how to pull the data from the event on the calendar in Power Apps.

For me a LookUp Function can do the job to disabled the item already selected by another user...

 

But can you show me a screenshot of you app to better visualize the problem ? 🤔

 

When you talk about "in app calendar" is it with Outlook Calendar Connector ? It's a Component ?

Sure, no problem. The 2 pictures will be below. So the thing is with this we make the reservations using teams meetings. So the subject line would ideally be the vehicle name. Attendee would be who scheduled it. Screenshot.PNG

So these are the 2 things I need to interact with eachother. Right now we have the idea of if a vehicle is already reserved for the day, a red error message would pop up under the vehicle section. Ideally I would like to have it take away the option for that choice of vehicle though.

As for the calendar, it is a connected calendar to an Outlook365 calendar for everyone. It is just the template calendar, with minor variations to show all of the details if a meeting is on that day, and to only show the specific calendar we use.

For me, you need to create a database in Sharepoint list for example and patch the data of the reservation (Date and Vehicles). 

 

With this DB you can create a LookUp function in the DisplayMode or Visible property of each day in your calendar to Disabled the date where the vehicles is already reserved.

 

There is an example of a LookUp function with 2 conditions in a DisplayMode property :

Did you use the Calendar Component created by April Dunam ? If it's this one I can download this tomorrow to find you a solution 🙂

Awesome, thank you for the input! That would be great, but I would feel bad if you had to go out of your way for all of that. I will mess around with that tomorrow and see if we should implement your suggestion for SharePoint! 

 

As for the calendar component, I used whichever is set as a standard template in Power Apps under the new page selection. 

 

I thought of a potentially easier solution in the mean time. Instead of searching for the date and vehicle to compare separately, I could just search the table on that day for subject (ie. Vehicle). If it contains that vehicle, then I could either disable the ability to choose it, or just give warning messages for each vehicle separately. Would you know how to do that?

 

Given the date for instance like a random dd/mm/yyyy, just use that to view the event on that day and if it contains the vehicle it satisfies or un-satisfies a condition. This is what I have gathered so far, but do not know how to insert the selected date chosen in that first picture I posted above into this function. I am pretty sure I will find more bugs, but right now its issue is I only have 1 argument when it expects 2-3.

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
