Repeating table in a gallery Exceeding 2000 rows

Hi All.

I have a repeating table in a gallery (using Shane Young's brilliant Youtube videos). I have two SharePoint lists, one called Subject and the other one is called Activities.

One subject can have many activities. The activity that’s belong to the same subject have the same MasterID as the Subjects ID. So that’s how I link them together in the Powerapp.

And now I want to build a report with this data like one of Shane youngs other videos (Htmltext to PDF-report). One of the columns in the subjectlist is company. From the Powerapp before Im creating the report I want to select which company I want to create the report for. I need to have a concat for all subjects that’s belong to the company. And I need another concat in that concat to show all the activities that’s belong to the subject. Similar like this.

When Im doing my report today Im first doing a ClearCollect and filtering depends on which Company the user Is selecting. And Im getting the Subjects and activities that’s belong to the Company. I could only managed to use the in operator here and its getting me for using “=”.

 

ClearCollect(SubjectCollection,Filter(Subject, Company = Company.SelectedText.Value);

ClearCollect(ActivityCollection, Filter(Activities, MasterID in SubjectCollection.ID))

 

When my collections Is filtered Im using a HTMLTEXT that’s concating every subject and activity.

My problem is that Im having a Delegation warning because Im using “in” operator and a collection that can only show me the first 2000 rows. The customer is going to have more than 2000 activities.

I want to have a similar report but without the delegation warning and no problem to filter records above row 2000. I want to filter all the rows from the SharePoint list.

Anybody have any suggestions how I need to build it or maybe give me an example?

I guess I cant use the collections anymore because of the delegation problem.

For SharePoint List, if you create extra columns and make them non-dropdown type (at the data source i.e. SharePoint level), with a combination of rewriting the formula a little bit - it may help get rid of the warning when using SharePoint List(s).

 

Wherever you use .Value together with Filter with SP List, it's a sign you may get a delegation warning at some point.

 

In cases where it is not permitted to do this kind of workaround, it may not be possible then without the delegation warning with SharePoint List.

 

You could also try using modeling this as Entities in Common Data Service and then using that as the data source.

Common Data Service may have the better support for delegation and just overall integration with PowerApps compared to SharePoint List.

Hi @KentB ,

To avoid the effect of delegation, you have two solutions:

1)only use delegteable functions:

I've checked all the delegateable data sources, only SQL SERVER support "in" as delegateable functions (only for text type).

"In" is not delegateable in other data sources.

So you could consider try SQL SERVER as data source(do not forget to change data type to text) or modify your formulas.

Only use delegateable functions.

2)split your list to several lists(every 2000 records).

Do not forget to change delegate limit to 2000.

Then you will not be effected by delegation.

Thanks for your answers unfortunately I have not been able to test your solutions yet, I have been stucked with some others tasks. 

But I really appreciate that your time to answer my question and will hopefully be able to verify if it works tomorrow. 

I will of course update here how it goes.

You can avoid the In by looping through SubjectCollection using ForAll and collecting just the Activites related to one subject:

 

ClearCollect(SubjectCollection,Filter(Subject, Company = Company.SelectedText.Value);

Clear(ActivityCollection);

ForAll(SubjectCollection as sc, Colect(ActivityCollection, Filter(Activities, MasterID = sc.ID))

 

Clear() will give you an error if the collection doesn't alreay exist. An alternative would be to use ClearCollect with a filter that will always return 0 records.

We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
