SharePoint items (list view threshold is 5000).

Hi 

 

Can you please help me how can i overcome 3263 items (list view threshold is 5000) SharePoint List. and now continue refreshing my powerapps app i mean little dots on top bar.

For SharePoint the workaround is to create filtered Views to access the data.  SharePoint can store very large amounts of data.  It just can't retrieve more than 5,000 at any one time.

 

For Power Apps the workaround is to use delegable functions to pre-filter the data you are using at any one time in your app.  Again, the system can store massive quantities of data, but you can only pull up to 2,000 records at any one time.  If you use delgable functions then the selection of records is done by the server, so the only limit is the amount of data returned, not the amount stored.  This article provides the details.

The List VIEW threshold is 5,000 records in SharePoint, but you can store over a million records in a SharePoint list.  You just can't retrieve that many records in a View at any one time.  The key is to use filtered views to get it below the threshold. But that is native SharePoint online and really doesn't apply to Power Apps.  The default limit in Power Apps is 500 records, which you can extend to 2,000.  But if you want to work with lists that are that large in Power Apps you need to use delegable functions that can get the data set returned to Power Apps below the record row limit (500-2000).

Hi you can break down your collection and pull through 2000 records at a time in PowerApps. If it's circa 10000 for example, that would just be 5 batch's  ID 1-2000 etc. The app will run poorly though so I would only do this in certain circumstances.

 

I've done this with 300,000 records so it does work

 

Otherwise you can prefilter the data by user input

Thanks for reaching this was while back, now I have since fixed without collection using direct data source and I get my data any column need it any size

Hello,

 

I am having trouble retrieving more than 2000 records using below code. It is only getting

2000 records. Any help would be appreciaed.

As @Pstork1  said post as a new question. also is there a reason you collecting the data source in to collection, as you can retrieve you data without needing a collection and will also improve the performance of your app.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
