There MUST be a way - hide SP List from site navigation?!

Hi

 

There must be a way to prevent a user from navigating to or finding a SP list but whilst still enabling them to read and write to the list via PowerApps? I only want them to find filtered data from the list in PowerApps which I can achieve, but how can I stop them from finding the list on the SP site? I have removed NAVIGATION also removed RECENT ACTIVITY but when I login as a user, I can still see MyLists down the left hand side and navigate to them and read them?!

Yes, you should be able to use the 'everyone in...' group when you go to grant permissions from Site settings.

Don't forget to untick the email notification and also to choose the new security group from the dropdown (I highlighted it green at the end)

..but they have access to the list right? So of course they can see the list.

 

What I would suggest is creating a default public view on the list that is set to filter where ID =-1 (ie no items will show) and custom private views for yourself, then customize your SharePoint security roles to create a new role that can't modify the site or create new list views. Then customize the SharePoint form for the list and delete everything within it - create one giant label/button that is a link to opening the actual App that this list drives.

 

This should stop the majority of them from seeing the data - but if any of them are savvy-enough to use Power Apps then they can just pull that data into a gallery/form.

Thank you. It's just rubbish isn't it. I want the user to create and view their data via an app, but not via the list directly!

Agreed! This was one of the few ways I figured out (for the same reason) that would stop 99% of people from seeing the data, without resorting to item-level permission overrides

Many thanks - I will give that a go! I did try and change the list default list view and disable the option to modify views, but I was still able to change the view back to ALL ITEMS?!

Apologies - where is the option to prevent modifying the site / changing list views?! I have taken a look at the EDIT PERMISSIONS LEVEL page and I can only see "Manage Personal Views  -  Create, change, and delete personal views of lists" which doesn't seem to help?

Modify the all items view to be the blank one with filter ID=-1, then in your list settings there should only be one public/default view, delete the others if needs be, to create only private ones under your dev account.

 

The permissions for modify of list views will need a new security role defined, and you'll need to make sure that nobody is in the other role (or delete it) and that this new role is the default for all users.

 

Test with a test account that has the same rights as a normal user - your normal account will likely be site owner, which gives it full admin rights

That is the one yes, but you should create a new permission level that includes only the bare minimum rights - edit gives them edit rights to lots of other parts of the site like editing of pages etc.

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
