Updating a SharePoint Person or Group column with multiple selections

I have a Power App that updates a Sharepoint list. One of the columns is a people or group columun that allows multiple selections. I'm filtering the choices in the column using a security group. I'm getting my correct options and am able to select multiple choices and save the form but only one selection is saved to the Sharepoint list.

This is the setup of the column.

This is how I'm filtering the fields items. It is returning the correct options.

This is what I have for the "Update" on the field.

When saving the form, it only adds one of the multiple selected persons in the maintenance tech field. How do I persist the multiple selected values in the field back to the Sharepoint list?

Hi @John_Sieber ,

Please try this

write this code in OnSelect of the save button (or any other control that triggers the save action)

Collect(colSelectedUsers, DataCardValue8.SelectedItems)

write this code in Update property of the data card

ForAll(
    colSelectedUsers,
    {
        '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
        Claims: "i:0#.f|membership|" & mail,
        DisplayName: displayName,
        Email: mail
    }
)

Remember to replace DataCardValue8 with the actual name of your People Picker control if it's named differently.

If this solution resolves your issue, please consider marking it as accepted.

Warm regards,
Muhammad Ali

Hi @John_Sieber ,

To ensure multiple selections from a People Picker are saved to a SharePoint list, the 'Update' property of the data card must be set to pass an array of records. Use the ForAll function with Patch to create the correct data structure for SharePoint:

ForAll(
YourPeoplePicker.SelectedItems,
{
'@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
Claims: Claims,
DisplayName: DisplayName,
Email: Email
//... other necessary properties
}
)

Make sure to replace YourPeoplePicker.SelectedItems with the name of your actual control, and map the internal properties to the selected user's attributes. This should allow you to save multiple user selections to your SharePoint list.

Please accept this solution if it resolves the issue.
Best regards,
Muhammad Ali

Hi @M_Ali_SZ365 ,

This is how I'm attempting to update the field.

ForAll(DataCardValue8.SelectedItems,
    {Claims: DataCardValue8.Selected.mail,
DisplayName: DataCardValue8.Selected.displayName,
Email: ""}
)

Unfortunately, it is only saving one of the selections, the final selected value. Do I need to create an array first and then only pass the array?

Hi @John_Sieber ,

Try the code like this

// Loop over each selected person using ForAll
ForAll(
    DataCardValue8.SelectedItems, // The People Picker control's selected items
    {
        // Required SharePoint type for user value
        '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",

        // Construct the Claims identifier for SharePoint
        Claims: "i:0#.f|membership|" & Email, // Append 'membership' to the email for SharePoint format

        // Set the DisplayName from the selected item
        DisplayName: DisplayName, // The user's display name

        // Set the Email from the selected item
        Email: Email // The user's email address
    }
)

If this solution resolves your issue, please consider marking it as accepted.

Warm regards,
Muhammad Ali

@M_Ali_SZ365Unfortunately it is still only adding one of the selected values. This is the code I'm using as the update value for the control.

ForAll(DataCardValue8.SelectedItems,
    {
        '@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
        Claims: "i:0#.f|membership|" & DataCardValue8.Selected.mail,
        DisplayName: DataCardValue8.Selected.displayName,
        Email: "DataCardValue8.Selected.mail"
    }
)

@John_Sieber ,

To fix the issue with saving multiple selections in a SharePoint list from Power Apps, modify your 'Update' property like this:

ForAll(
DataCardValue8.SelectedItems,
{
'@odata.type': "#Microsoft.Azure.Connectors.SharePoint.SPListExpandedUser",
Claims: "i:0#.f|membership|" & ThisItem.mail,
DisplayName: ThisItem.displayName,
Email: ThisItem.mail
}
)

This ensures each selected item from DataCardValue8.SelectedItems is correctly structured, using ThisItem to refer to individual selections. This approach should allow saving all selected users to SharePoint.

If this solution resolves your issue, please consider marking it as accepted.

Warm regards,
Muhammad Ali

@M_Ali_SZ365

When I change the scope from datacard8.selected.mail to ThisItem.mail it gives an error saying that mail is not valid, mail is not recognized.

In an attempt to further debug this issue, I removed the field from the form and added it back in. Multiple selections within the form field save correctly until I modify the "Items" of the control to filter based on a Microsoft 365 Security Group. It seems that the issue only happens when the default value for the controls items is filtered and coming from a different source than the Sharepoint list.

@M_Ali_SZ365thank you. That worked except I needed to use ClearCollect instead of Collect to keep the previous form submissions from being included. Thanks for the help on this!
