emailing form responses from button - powerapps

Hello everyone,

I'm currently working on a Power Apps form, and my goal is to automatically email the person filling out the form with their responses. I've implemented the following code on the OnSelect property of a button:

Office365Outlook.SendEmailV2(
   User().Email,
   "Order from: jbloggs@bloggs.com",
   "Request Details:<br>
   Time & Date of request: " & Text(ThisItem.Time, "hh:mm") & "<br>
   Venue: " & ThisItem.Room & "<br>
   Number to be catered for: " & Value(ThisItem.'Number to be catered for')
);

However, this code doesn't include the filled-in answers. I've been advised to use data cards instead of ThisItem, but I'm unsure about the necessary adjustments.

I attempted the following code:

Office365Outlook.SendEmailV2(
   User().Email,
   "Order from: jbloggs@bloggs.com",
   "Request Details:<br>
   Time & Date of request: " & Text(Time_Datacard1.SelectedDate, "hh:mm") & "<br>
   Venue: " & Datacardvalue3.Text & "<br>
   Number to be catered for: " & Value(Datacardvalue2.Text)
)

However, this resulted in errors. Specifically, I'm uncertain about handling the "Time & Date" fields and formatting them in a friendly way for email. Any guidance on making this work seamlessly would be greatly appreciated.

Hey @AB21,

the answer to this formatting issue can be found here in @WarrenBelz 's response to your original thread:

Re: Send email of entries to a specific email and ... - Power Platform Community (microsoft.com)

and i do agree with Warren that it can become quite confusing if you spin up a new thread.

Essentially change the onsuccess from what you put:

Office365Outlook.SendEmailV2(
User().Email,
"Order from: jbloggs@bloggs.com",
"Request Details:<br>
Time & Date of request: " & Text(Form1.LastSubmit.Time, "hh:mm") & "<br>
Venue: " & Form1.LastSubmit.'Room ' & "<br>
Number to be catered for: " & Text(Form1.LastSubmit.'Number to be catered for')
)

to the following

Office365Outlook.SendEmailV2(
User().Email,
"Order from: jbloggs@bloggs.com",
"Request Details:<br>
Time & Date of request: " & Text(Form1.LastSubmit.Time, "dddd, mmmm dd, yyyy hh:mm") & "<br>
Venue: " & Form1.LastSubmit.'Room ' & "<br>
Number to be catered for: " & Text(Form1.LastSubmit.'Number to be catered for')
)

Are you triggering this using the Forms Onsuccess property and trying to send the last submitted details to the current user as that would be theirs? if so you are not far off 😊.

It looks like you're on the right track with your Power Apps form and the use of Office365Outlook.SendEmailV2 function to send an email. To ensure that the email includes the filled-in answers, you can use the LastSubmit property of the form. This property holds the last successfully submitted record,.  Here's how you can adjust your fx:

Assuming your form's name is YourFormName, you can use the following power fx:

Office365Outlook.SendEmailV2(
   User().Email,
   "Order from: jbloggs@bloggs.com",
   "Request Details:<br>
   Time & Date of request: " & Text(YourFormName.LastSubmit.Time, "hh:mm") & "<br>
   Venue: " & YourFormName.LastSubmit.Room & "<br>
   Number to be catered for: " & Text(YourFormName.LastSubmit.'Number to be catered for')
);

Make sure:

  1. Replace YourFormName with the actual name of your form.
  2. YourFormName.LastSubmit.Time, YourFormName.LastSubmit.Room, and YourFormName.LastSubmit.'Number to be catered for' refer to the fields in your form. Make sure the field names match exactly.
  3. The Text function is used to format the number and date/time values properly. For the 'Time & Date of request', I've used the Text function to format the time. Ensure the Time field in your form is storing the correct data type.
  4. Lastly, make sure that your form is successfully submitting the data before the email is triggered. The LastSubmit property only works with successfully submitted records.

Hope this helps! Let me know if you have any further questions or issues.

Hi @AJ_Z

Thanks for this. I have tried adding this to the onsuccess of the form. but I dont get an email when submitting a form. To submit the form I use a button which has this in it on the onselect: Patch(tracker,Defaults(tracker),Form1.Updates);ResetForm(Form1);Navigate(Screen3,ScreenTransition.Fade)

So I have tried adding all this together on the onselect which was also advised by Warren I get the email but with no data from the form? code:

Office365Outlook.SendEmailV2(
   User().Email,
   "Order from: jbloggs@bloggs.com",
   "Request Details:<br>
   Time & Date of request: " & Text(Form1.LastSubmit.Time, "hh:mm") & "<br>
   Venue: " & Form1.LastSubmit.'Room ' & "<br>
   Number to be catered for: " & Text(Form1.LastSubmit.'Number to be catered for')
);Patch(tracker,Defaults(tracker),Form1.Updates);ResetForm(Form1);Navigate(Screen3,ScreenTransition.Fade)

Hi @AJ_Z so I have now got it working!

Onsuccess is:

Office365Outlook.SendEmailV2(
User().Email,
"Order from: jbloggs@bloggs.com",
"Request Details:<br>
Time & Date of request: " & Text(Form1.LastSubmit.Time, "hh:mm") & "<br>
Venue: " & Form1.LastSubmit.'Room ' & "<br>
Number to be catered for: " & Text(Form1.LastSubmit.'Number to be catered for')
)

On my onselect button:

SubmitForm(Form1);Patch(tracker,Defaults(tracker),Form1.Updates);ResetForm(Form1);Navigate(Screen3,ScreenTransition.Fade)

However few things I need to sort if you could help

The date and time bit only shows the time

Screenshot 2023-12-18 at 14.19.05.png

Food Options: " & Form1.LastSubmit.'Food Option'.Value & "<br>

I tried to add in "food option" however I get an error. this selection allows you to choice multiple items

@AB21 ,

Please consider for the future that starting a new thread after someone has spent 11 responses try to help you one step at a time due to your limited knowledge (and was almost at the end of the journey) is not productive for anyone.
