Compare 2 SharePoint lists , and create item not there

Hello everyone,

I have been struggling for days and I hope someone can help me.

I have two SharePoint lists. Each list has a name. I need list number one to search list number two by name and if list number one name is not in list number two , create an item in list number three from list number two.

thank you for your help in advance.

Hi @Sahara22 ,

I've used 2 lists for demonstration
List 1: Employee
Column: EMP_ID (e.g. Value : SMITH, JOHN @123)

List 2: OldEmployees
Column: EMPLOYEE_NAME (e.g. Value : SMITH, JOHN)

Point to Consider:
As EMP_ID has extra characters in List1, we need to extract unwanted text before using in Filter

Below is the visual representation of the flow:

Hi @Sahara22 ,

Based on the information provided, it appears that the 'Get Items 2' action is not returning any results.
Would you mind checking the input and parameters used in that action? If necessary, could you provide a screenshot of the input and output of the 'Get Items 2' action for further analysis?

Best Regards,
Venkadesh Sundaramurthy

Hi @Sahara22 ,

I mean. Please provide a screenshot of the input and output of the 'Get Items 2' action, similar to the example below.
You can access this information by going to the flow run history, selecting the latest run, and expanding the 'Get Items 2' action.

Hi @Sahara22 ,

The filter query is not visible in the screenshot. However, if you click on "show more," it will become visible.

Please check the filter query and the parameter value for "varNameToSearch." If the variable is null, it is important to investigate why the value is null.

Any idea's please?

Hi @Sahara22 ,

I suggest removing the filter query from the 'Get Items 2' action and inspecting the output to ensure that the internal name of the column (field_1) is correct and that the output contains values that match your substring.

I hope this suggestion is helpful. If so, please hit the thumbs-up button.

Best regards,

Hi @S-Venkadesh Its correct and there are outputs when i removed the string

"field_1":"Smith

@S-Venkadesh ,

Ok i think I know what's the problem :

've used 2 lists for demonstration
List 1: Employee
Column: EMP_ID (e.g. Value : SMITH, JOHN @123)

List 2: OldEmployees
Column: EMPLOYEE_NAME (e.g. Value : SMITH, JOHN)

Point to Consider:
As EMP_ID has extra characters in List1, we need to extract unwanted text before using in Filter

Not all have an extra character, only some do.

Hi @Sahara22 ,

There is a conditional statement in the flow to handle special characters. If a special character is present, the "Yes" case will be executed; otherwise, the "No" case will be executed. Please see the screenshot below.

For the purpose of this demonstration, the special character being used is the "@" symbol. You may replace this with the relevant special character in your own data.

@S-Venkadesh , Thank you, how about we forget all the special characters for now.  I think this is whats causing the problem. How to just compare two names and if the name is new create an item

Hi @Sahara22 ,

To ignore special characters logic, you may skip steps 3, 4, and 5 in the original demonstration flow.
In step 6, make sure to include the name parameter in the substring query and ensure that the query's value is dynamic value of the name field from List1.
Please take note of these instructions when constructing your query.

I hope this suggestion is helpful. If so, please hit the thumbs-up button.
