Creating order within Dynamics 365 from email

Hi,
Trying to create a order within Dynamics 365 from incoming emails sent to a shared mailbox
-- Needs to check and see if email address is assocaited with either an account or contact within Dynamics

-- If found, create the order record against that account/contact 

-- Add default values in the order form
-- Post to a Teams channel 

 

It get stuck on searching for the contact / account, it comes back as No but the email address is in Dynamics.
I've added a list rows from Accounts and Contacts. How do I get it to verify the email address from Dynamics?

I think it is the 'Owners' field that is giving issue. Pls avoid setting it if it is a system field & try testing the flow.

Hi @RachelC 

 

You can make use of filter rows option in 'List rows' action to filter the records based on the given email address. Then you can check the length of the results obtained from List row action if record exist or not and accordingly perform the next set of actions.

 

Here are the steps to achieve this:

1. In List row action, click on 'Show advanced options' button on the bottom of the action:

2. Pass the query in the 'Filter row' parameter:

Filter query used in above screenshot is:

emailaddress1 eq 'someone9@example.com'

pls pass the actual value or variable in place of someone9@example.com in the above expression.

 

'emailaddress1' is the Logical name of the column in 'Account' entity. To get it, go to "Account" entity->Columns->click on 'Email' column:

3. In the same way, add the filter query for Contact entity:

As mentioned in previous step, pls replace the email address with actual value or variable and get the logical name for 'Email' column from 'Contact' entity. 

 

4. Now we will check the length of rows returned from both 'List rows' action to determine if record for exists or not for a given email address:

Expression used to find the length of rows for Account entity:

length(outputs('List_rows')?['body/value'])

 Expression used to find the length of rows for Contact entity:

length(outputs('List_rows_2')?['body/value'])

Thank you for that, that worked perefectly but when it tries to create the record it now errors out....

Here is the actual next steps:
Intialize variables are there becuase I want to automatically enter the default selected variables into the required field in the rnew record as you can see below.
The problem is, the Currency and Price List are required, so that is why I did the initalize the variables 
I think it doesn't like the 'Table Name' but that is the cprrect table to create a order.
I have also tried by changing the 'Create a new record' to 'Insert a new row' step inplace of 'Create' and I get the same error.

The two functions for Accounts and Contacts are as follows:

To set the value of lookup columns (Account & Contact), you need to pass the Id of the record with proper syntax. If we set null, then it will clear the value of lookup columns.

As we have already collected data using list rows action by querying in account & contact entities, so we will make use of expressions to set the value of both lookup columns in "Add a new row" action:

Expression used for setting account lookup col:

if(equals(length(outputs('List_rows')?['body/value']),0), null, concat('/accounts(',first(outputs('List_rows')?['body/value'])?['accountid'], ')'))

 

Similarly, we will use expression to set the value of contact col:

Expression used for setting contact col:

if(equals(length(outputs('List_rows_2')?['body/value']),0), null, concat('/contacts(',first(outputs('List_rows_2')?['body/value'])?['contactid'], ')'))

You need to write the expressions in the expression box as highlighted in the screenshots.

 

Also, you don't need to wrap the string variable in double quotes, unless there is an explicit requirement.

At this rate, I'll just ask you to create the flow for me LOL

We seem to be getting there but encountered another error this time when creating the record

Error
Action 'Add_a_new_row' failed
URL was not parsed due to an ODataUnrecognizedPathException. Resource not found for the segment provided in the URL.

Not sure but I think it might have to do with the lookup fields even through I have done the variables. All the data seems to be entered in correctly.
I've tried different things but always the same error.
Also thought maybe it's the 'Order ID' but that is auto generated.
Owner field - So created a variable to populate the Owners field and still the same   
So at a loss, spend hrs trying different things, I bet it's something obvious I've missed.

Hi @RachelC 

 

It looks like there is an issue in setting up Owners field, pls check if you are using the correct User or Team ID with proper syntax. Please refer the below link for details:

Hi, @ManishSolanki 

Slowly getting there,

Looks like the order number was an issue so for  test I just added a variable to see what would happen, still have the same error....

Any suggestions of where it's going wrong?

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
