Flow slow performance

Hi, 

 

I have a flow that is moving email attachments to SharePoint - however I am getting the error 

 

"Your flow's performance may be slow because it's been consuming more data than expected"

 

 I have a Power Automate per user plan license, the flow is dealing with around 200 emails a day each with an excel file around 5mb on average to move sharepoint.    

 

This doesn't seem to excessive and how much data does it expect to consume? 

 

Flow is fairly simple;

You have to be careful with creating parallel branches like this. In your flow for example both scenarios can come true and maybe you don't want to create duplicate files. But that's another thing.

 

If you use "Filter array" you don't want to apply to each attachment but to each filtered attachment. So you have to use the output of "Filter array" for the loop.

 

Also you should move "Move email to folder" and "Mark as read" outside of the loop.

There are some bugs in the flow.

 

First of all you could filter for specific subject using the trigger. That way you won't need a condition. You also should never use conditions inside of loops. Always use "Filter array" and loop the filtered array.

 

The next thing I see is that the first loop (you called it "Apply to each email") loops through each Attachment. That doesn't make sense. The condition inside (Check if the subject contains ...) will always be the same for each attachment. If it is true you loop again through all Attachments. Inside that loop you now get the attachment (isn't this possible while starting the trigger?). The other condition (on the right side) is closed so I don't see what is happening there.

 

So try to get rid of those 2 apply to each and the condition inside (by using filter array) and share the new flow again.

Quick question around filtering the subject - we may end up with emails with different subjects needing processed - do you think it would be better to have a new flow for each subject?

No, but depending of how complex the structure is that you want to be checked, I would suggest is that way or the other. For example. If you have x fixed subjects I would create an array with this subjects and check if the subject is part of the array. If you only want to check if some words are in the subject the condition would of course look different.

 

But if you are on this point just create a new topic and if nobody answers you can tag me.

 

If you are done changing your current flow and everything works out, please let me know if the problem is gone.

Thanks - I've made some changes but not 100% sure if I understand the logic of the filter array (apologies I'm pretty new to power automate).   

 

Would I create 2 filter arrays instead of the condition to filter different subjects if different outcomes.  See below - I have not completed the actions on "filter Array 2" as I wanted to make sure I was going down the correct route.  

 

I only want to check for one word in the subject for "Filter Array"

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
