Help! Send reminder email according to SharePoint date column

Thank you very much for your help!

I have multiple rows of data in SharePoint, how can I use PowerAutomate to read the date column in SharePoint and then send an email to remind the person responsible for that row 7 days before that date

How can I implement this feature? Thank you very much!

Hi @XiaohuLiu

Do you have a column that stores the person who is responsible for the row of data?

Based on your description, I have made a simple test for your reference.

1. Here is the SharePoint list:

2. Here is the flow:

addDays(utcNow(), 7, 'yyyy-MM-dd')

Hi @XiaohuLiu

As mentioned above, if you would like to format the data from date and time to date, and send an email 7 days before the date, you could try the following way:

formatDateTime(items('Apply_to_each')?['DueDate'],'yyyy-MM-dd')

where Apply to each is the action name to store my Condition action,

DueDate is the name of the Date and time column in my SharePoint list.

Please change the formula based on your flow and SharePoint list.

addDays(utcNow(), 7, 'yyyy-MM-dd')

Here is the flow:

I know I can set up alerts in SharePoint, but instead of alerting me, I want to alert the person responsible for the email recorded in this row of data

@v-peijunz-msft
Thank you so much for your answer, it's clear and perfect!
I have one more question to ask,

1. My emails are stored in the same SharePoint site, but in different lists, can I extract to this mailbox?

2. My columns in SharePoint are calculated by formula, the format doesn't seem to be correct, how can I solve this problem?
The formula I use is: End Date= Start Date+ VALUE(MID(DA,1,LEN(DA) - 3))
The result that comes out contains the time, 2023-04-15T07:00:00Z
Thank you very much!

2023-04-23T07:00:00Z

Could this one compare to UTCnow() ?

@v-peijunz-msft  Thank you so much

Hi @XiaohuLiu

For your question1:

You could use multiple Get items actions for different lists, each Get items action is related to one list.

For your question2:

You could format the date and time date in the addDays function.

For example:

addDays(utcNow(), 7, 'yyyy-MM-ddT14:00:00Z')

Then it could compare to your datasource with date

2023-04-23T07:00:00Z

Best regards,

Sylvia

@v-peijunz-msft Very nice! The idea about the second question is very great,

I would like to ask if it is possible to read the date

2023-04-23T07:00:00Z

in Sharepoint column and process this format by what flow to convert it to save date only.

Thanks again very much!

Best regards,

Sylvia

@v-peijunz-msft  Thank you! I got this, But how to enter this fomula?

I have found it for a long time.

Hi @XiaohuLiu

You could put the formula into the Compose action, and then use the output from the Compose to other actions later, please remember to click on the Expression tap to fill the formula in.

@v-peijunz-msft Sorry to bother you one more time, how do I get my columns in SharePoint? I didn't find a place where I can get the columns in my SharePoint, thanks.

formatDateTime(items('Apply to each 2'), 'yyyy-MM-dd')
