Multiple Email Attachments from One Drive on PowerAutomate

Hello everyone,

I'm trying to include attachments in an automated email following the advice and tutorials from the community. However, when I try to enter the "name" of my variable in the step below,

the name of my document doesn't appear.

 

I'm afraid I may have made a mistake, but I really don't see where I could have gone wrong.

@zak3 It looks like you have your actions nested multiple times from your screenshot. The logic of your flow will need to be adjusted.

Can you toggle OFF the New Designer, expand all your actions and upload a full screenshot of your flow. It'll provide more insight as to the current logic of your flow.

I started getting familiar with Power Automate this morning, but even after watching your video, I can't seem to find the solution. My case is quite unique because I have interdependent questions that stem from previously answered ones, so I don't see how to modify the logic of my flow.

@zak3 Those tutorials were just recommendations—from your original post I had no idea your flow was for an MS Form. If you can provide more insight to the intended logic of your flow and how your form is set up—it'll be easier to provide recommendations.

I am in the case of a Forms questionnaire aimed at stores wishing to open different e-commerce solutions. Among these stores, some already have a first solution and want a second one, others want to change the current one, and still others have no solution and want to open their first e-commerce. In this context, the emails and attachments associated with them will be completely different. Therefore, I would like that depending on each case, an email be sent with several attachments sourced from OneDrive.

@zak3 Can you clarify the need for nesting multiple switch actions inside each other?.. Could you share a screenshot of the full flow? It's hard to see what's going on in your flow with what you've shared so far.

Sure, I'll clarify. The need for nesting multiple switch actions inside each other arises when we have complex branching logic or multiple conditions to evaluate. This allows us to handle different scenarios or outcomes based on various combinations of conditions.

Regarding the screenshot, I'll provide you with a full view of the flow to give you a better understanding of its structure. Please find the screenshot attached.

@zak3 Could you provide me with some examples of the various combinations of conditions? I don't have enough info to go on. The more details you can provide the easier it is to provide recommendations.

Hello, 

Certainly, here are some examples of different combinations of conditions:

  1. Example 1:

    • Condition 1: If the store already has an existing e-commerce solution.
    • Condition 2: If the store wants to change its existing solution.
    • Condition 3: If the store wants to open a second e-commerce solution.
  2. Example 2:

    • Condition 1: If the store does not yet have an e-commerce solution.
    • Condition 2: If the store wants to open its first e-commerce solution.
    • Condition 3: If the store has specific requirements for its first e-commerce solution.

Condition 1: If the store already has an existing e-commerce solution.

  • Yes:
    • Condition 1.1: If the store wants to change its type of e-commerce or wants to open a new type of e-commerce on its store.
      • Condition 1.2: Specify the type in each case.
  • No: Has the store validated the type of its first concept?
    • Yes: Which type of e-commerce was validated
    • No: Email send with the instruction for validation whith a third part

In each of these cases a mail with instructions and attachements are send. Let me now if you have interrogations.

@zak3 Unless I'm missing something, does your flow require a condition? After reviewing your condition it seems as if you only want to send an email if the answer to the question: Has the store validated the type of its first concept? is equal to No.

 

If that's the case, it might make more sense to adjust your flow logic to output which email(s) need to be sent out. Meaning you would adjust your flow to collect the responses from your form that would result in an email being sent. 

 

Can you clarify if a person would receive one or multiple emails?

 

Also, it's not indicated in your previous post but what do you need to do with the information returned in: 

  • Condition 1.2: Specify the type in each case.

 Does the person receive an email as well?

Yes the case, the person(s) would receive one specific mail but with severals attachement's.

 

For your second question yes in the condtion 1.2, each selected case trigger a specific email with some specific's attachement's.

@zak3 The logic is still not totally clear. I think you need to look at your flow from the end result.

  • How many emails will a recipient receive? Are there cases where a recipient will receive multiple emails or will they always receive a single email?
  • If they will receive a single email then you will need to determine the content of the email and it's attachments based on the responses from the form.

For example, take a look at this section of my latest YT Tutorial where I cover a scenario where you could either have a Condition action with a Yes/No branch or simply use an expression to output dynamic text. Keep in mind this is a very simple flow example but hopefully illustrates how you don't need to have multiple condition actions if you just adjust the logic of your flow.

In that case, each response triggers the sending of a single specific email with its predetermined attachments, so it seems that true/false conditions are not relevant.

So yes, it will receive only one email.

Everything is already specified, and there are no "false" cases since these are unique and identified possibilities. I can simplify the logic of your flow by avoiding the use of unnecessary conditions. Instead, I can use actions that directly send the emails corresponding to each response of the form.
