Request manager approval for selected file template

Hi All,

 

I am new to flow and I as I am studying some templates, I am a bit confused on how this flow works. I did some flow about receiving emails once a file is uploaded and among others. But the request manager approval template confuses me on how to use it.

This Request manager approval for selected file template is used to ask a manager if he approves the selected file or not. If yes, it sends notification email to the user that the file is approved by manager with reason and if rejected, sends email notification to the requester that the file has been rejected with reason. Let's go into details step by step:

1. For Selected file: It is the trigger of the flow. We have to provide the sharepoint site url and Document library name in this trigger action. NOTE: After we save this flow, the name of this flow will appear on any file selection in the selected sharepoint document library like in the screenshot. Make sure this flow is not turned off because turning off will hide this flow  in that document library.

2. Get file properties:

We need to provide the same sharepoint site url and document library as we have entered in the first trigger control. I don't know why we have to enter the same value again but the value should be same else, it will get the properties of the file with same ID in other document library. The ID value is the Id of the selected file which is the default provided value.

 

3. Get my profile:

Get your(the workflow triggering person) profile information. This information is needed to find manager in next step.

 

4. Get manager:

Based on step 3, it finds the Manager of the triggering person. 

 

 5. Left Branch: This runs if there is error finding manager of the triggering user. If your company hasn't set up manager in Active Directory, there's error on flow and run this branch.

5a. This will send email notification

5b. the flow will terminate

 

6.Right Branch: This run if the flow finds manager for the user. 

6a. Send Approval to the manager

If the manager approved, the YES branch runs sending approved email to the user

If the manager denied,the NO branch runs sending denial email to the user.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
