Hi,
Looking for assistance with creating a flow that creates an Outlook calendar event, any time an item is added to my SharePoint list.
Additionally, if an item is updated in the SharePoint list, such as the time or date, I would like for the Outlook calendar event item to auto-update as well... send a meeting update email to attendees.
Second to last, since the SharePoint list is tied to a regional timezone, would like assistance using the converter feature to auto-adjust the timezone for meeting events, based on each individual's respective timezone, so that the event accurately reflects in their timezone.
Lastly, in the event an item is deleted, I would like for the Outlook event to update to event/meeting canceled, prompting users to remove from calendar.
Not sure if there is anything else I might be missing, but feel free to share any additional input/advice, as I'm open to additional feedback.
Dates in SP date/time columns are all UTC so you don't need to do any conversion - that's done in the client front-end based on the individual's region or the SharePoint site's timezone settings. Just set your meeting event time zone to UTC too and it'll display at the right time in everyone's Outlook calendars
Add a column to your list for the calendar event id. When an item is created or modified (your trigger) you can have a condition that your event id column is null and in the Yes branch, create the calendar event and then update the list item with the event ID that's output from the create event action.
In the No branch just do the update.
You'll need a second flow to trigger when an item is deleted. I'm not 100% sure you'll still have access to the event ID from the deleted item though, but if you do, you can use that to remove the corresponding event from the calendar.
So working on the first part of the flow, I created the following to first, make sure a SharePoint list item could be copied over to my Outlook calendar, but second to make sure that the time reflects accurately.
I've attempted a # of things from running the flow without the Convert Time Zones for both the Start Date Time and End Date Time to using it (as depicted above), none of which seem to be producing the desired outcome, as the time still shows off in my Outlook calendar.
For both the Convert Time Zone pieces, I've tried 3 different things,

Destination Time Zone - UTC
with the create event time zone set to UTC as well and I see the following on my calendar
To clarify, my SharePoint list item has 2 columns in particular, a Start Date and End Date, which are currently set to 7/5/2024 12:00 PM and 7/5/2024 1:00 PM, so I'm seeing an inverse of what I currently have listed.
When I open the meeting event, this is what I see
Which now displays a different time, but also in UTC, which I assume is because the create event timezone is set to UTC.

So then I changed the Convert Time Zone for both the Start Date Time and End Date Time to
Source Time Zone - UTC
Destination Time Zone - Eastern Standard Time
with the create event time zone still set to UTC for my create event and now I see on my calendar
with this when I open the meeting invite, I see
Start Time - 7/5/2024 12:00 AM (Friday)
End Time - 7/5/2024 1:00 AM (Friday)
despite it showing on my calendar on a Thursday

We are excited to announce the Summer of Solutions Challenge! This challenge is kicking off on Monday, June 17th and will run for (4) weeks. The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities. Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”) - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024 Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.
