SharePoint List to Excel & Email Distribution Help Needed!

Hi,

I've built a PowerApp that allows users to submit data to a SharePoint list. Now, I'm looking to streamline the process with Power Automate.

 

Here's what I'm aiming to accomplish:

  1. Retrieve all items entered into the list for today's date.
  2. Transfer these items to an Excel document.
  3. Remove the transferred entries from the SharePoint list.
  4. Send the Excel document, preferably as a .csv, to a shared mailbox.
  5. Refresh the Excel file to clear entries for tomorrow's flow.

This will run at 12:01AM daily.

 

I'm struggling to get the attachment into the email. I'm also seeking assistance and suggestions for optimizing this workflow. Any insights or advice would be greatly appreciated.

Add a Get file content action above the Email action to retrieve the content of the newly generated CSV.

Thank you for your suggestion. I noticed that I received the same email multiple times overnight. Could you please advise on how I can ensure I only receive it once? Additionally, the attachment was not in Excel format. Could you provide any suggestions regarding this issue?

Most likely you have added the email action inside a loop, so you get emailed for each record.

As for the second issue, you might just be missing an extension in the filename.

I am experiencing the below issues:

  1. Rather than receiving one email with all the rows in the Excel file, I am getting multiple. It seems to follow the pattern of the number of rows added is the number of emails I receive. It's important to mention that each email is identical, and the attachments of these emails all have the same data. How can I determine if this is due to a loop in the workflow? It is not explicitly shown in the current setup (see original attachment).
  2. Finally, I need to ensure the Excel file is cleared and ready for the next day.

Any suggestions you have would be greatly appreciated.

@TarenBhutch Refer the flow below. Just swap the Onedrive actions with the SharePoint ones.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
