Skipped Status stops my flow

I have a simple flow were when every item that gets added to a library the details of that item gets added to an Excel table.

 

As of yesterday it started to skip some of those items and when I look at the run history I just have about 20 items with the skip status. It say the skip is happening at first step of the flow.

So what I have found is that when I put PDFs into this SharePoint which I have a first folder where everything kind of gets organized and tagged before being moved to the 2. PO Entry library if it sits there for over an hour I guess it's not considered new.  So then when I So then when I move it do you automation just skips.   So I have told my team that they now have a timer to target with the meta-data and move it before 45 minutes are up if the 45 minutes are up they must download it to the desktop and then re-upload it to SharePoint so that the timer resets and then they have to redo all the meta-data if it was done already.   Not the greatest work around but it's what I got for now I am doing tests though to find out the exact time but a PDF has to sit there for the skips start.

Has the Flow actually failed to pick up a new item after it was created?

 

Or are you concerned because your run history has runs with the status skipped?

 

 

Because it looks like the flow checks for the desired criteria (in this case if a new item has been created in Sharepoint) at a regular interval. If there are no new items, it skips the flow. Then it checks again at the next interval.

So the flow is suppose to create a new entry in excel when a new item lands in "2. PO Entry Library"

 

it doesn't fail it just skip's the item and nothing gets logged in excel.    I have a second flow that is actioned on the creation of an item in "2. PO Entry Library" a task in Planner is then suppose to be created,  it too has skipped status for everything the past 3 days.

Sorry, I didn't mean "fail" as in the flow ran and then failed. I just wanted to confirm that there are actually new items being added to "2. PO Entry Library" that are subsequently NOT being added to the excel file.

 

The reason I ask for this clarification is that it appears that even for event-triggered flows, like "When a new item is added to Sharepoint", the flow still checks periodically to see if the trigger criteria is met.

 

After reading your response, I went to check some of my own event-triggered flows and saw "Skipped" runs just like you. However, the flow run was only skipped because there was nothing that met the criteria for the flow to actually execute (in my case, there were no planner tasks that had been marked "Complete").

 

So in the last three days, there have been NEW items added to "2. PO Entry Library", correct?

Yes there are new items being added to it daily, but right now everything is skipped and not added to the excel.

 

I have about 40 new items to move there but I'm holding off on that till this is fixed.

I have two suggestions:

 

1. Check your connectors in both of the flows that are supposed to be running after new items are added to that SP list.

 

2. Try manually running the flows as a "Test" from the flow editor and see what the result is.

 

If that doesn't solve your issue (or provide more information as to the cause), I hope a more experienced user is reading this thread that can shed some light on this strange issue.

Both the connectors have a green check mark.

 

I tried the test before and just did it again.  It does work and add to my Excel list but what it ends is an item that had already successfully ran and been added to the list.

 

But that gave me an Idea 💡

I grabbed a PDF from my desktop through it into my first folder in SharePoint tagged it with the metadata i need and then moved it to the 2. PO Entry library and all flows worked.

 

I think what is happening is I am taking too long to move the PDFs to the library which is then causing it to think it is not newly created item and therefore skips the flows.

 

I am going to remove all the PDFs that are in my sharepoint's first folder right now and then re-upload them and re-tag their meta-data and then move them to the 2. PO entry library and see if all the flows are successful for that.

 

I will post back here with my results

You should mark your most recent response as the answer so that anyone else having the same issue will be able to find your explanation easier.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
