Unable to Set To and From Fields of Email entity of Dynamics 365 CE through MS FLOW create action.

Hi,

I wanted to create Email entity records in Dynamics 365 CE through MS FLOW. But, here i am unable to set "From" and "To" fields of the Email entity.  Email records are creating without From and To fields.

 

I am using normal Create record action to create email record in CRM? But unable to set From and To.

Can anybody let me know how to set 'From' and 'To' fields? As we know, these 'From' and 'To' fields are not a normal Lookup fields in CRM, they are PartyLIst fields. Please let me know how to set these PartyList fields.

Hi,

There is a way to make this work. You have to:

  • Create a new Flow from a (new/existing) Solution. Select the connector "Common Data Service (current environment)" instead of the D365-connector.  
  • Select the action "Create a new record" and set it up like the picture below:

The main differences are the above Activity Attribute fields. These are not available in the regular CDS-connector or D365-connector. You can choose To / From / CC / BCC and use the GUID if the sender or receiver are always the same, or get a GUID from a linked entity when it is variable. This is what I did in this case.

First, I'd recommend reviewing the official documentation for the Dynamics 365 connector

Have you created a custom entity within Dynamics 365? I'm not a Dynamics expert, but I beleive the fields that are available in the Create a new record action are dynamically based upon the Entity Name that you selected. You should be able to create a custom entity and add the fields you want (incouding PartyList fields) to that entity. Then when you select that entity from within the Create a new record action in Flow, you should see those fields listed within the action.

As an example in the screenshot below, selecting the Contacts entity (in red rectangle), dynamically populates the list of items (purple arrow). NewRecord.png

Per my certain test, I found that a dynamic content which returns a value of email address could be used in the action Create a new record to create an Email record with From and To fields.

 

I have made the following test. In the following scenario, I got the dynamic content Email from a regarding Contact.

Then select dynamic Email from the Get record action for the From field.

 

The email record will be created with From field.

Hi @v-yamao-msft , i had tried by passing email addresss of the Contact but still didn't work. Let me know if i am missing anything.

 

You can see while creating email, i am passsing email address of Contact.

Thanks for updating.

 

Please try to use a dynamic content which will return an email address from the previous trigger/action in the From and To field.

 

In the screenshot I provided in my previous post, a dynamic content Email from the action Get record is being used in the From field. The returned value could be detected by Flow.

 

Please take another try with it on your side.

 

By the way, when sharing images with us, please remove/hide your personal info including email address, organization name, etc. for security purpose.

The below suggestion by @Freek  worked for me. List the records from contact/queue/systemuser where name or email address for filtering the correct record. Map the GUID (from the list record) under the From field. Same applicable for the To field. 

 

I am going to accept @Freek solution.

Quick query - in the screen shot the side of the shot it says 'Activity Party Attribute Name 1', 'Activity Party Attribute Value 1' etc. >> feels like a silly question, but where did you get these?  I don't see them in the list of fields for the Email record.

However, they are generally present when doing the Get Record function.  Did I misunderstand the connector being used?

As you can see in my picture I have two common data model and common data model (current) you need to pick the "common data model (current)" and you will get the 'Activity Party Attribute Name 1', 'Activity Party Attribute Value 1'

Your images are very clear that it is from a Common Data Service, and that it is an update record connector.  But I was trying to understand why my CDS update record step didn't have the 'Activity Party Attribute Name 1', 'Activity Party Attribute Value 

 
In your reply you were saying Comment Data Service (Current) - does the current mean that in my images I might have chosen the wrong connector ?

When googling I did find an image of a CDS update record step that does have what you are talking about, but I'm not finding it.

I have same issue going on with flow automation when trying to create Dynamics Email message "To" and "From" are coming through as null/blank also description is losing the formatting.

I was stuck on that page too - but what I had to learn, is that Common Data Service (current environment) is only available within a solution.

Either create a new solution or add to an existing.  Screen shots below are about adding a new solution, with a new flow.  I find that you have to have the first Trigger as CDS (current environment) for the others to follow suit.

Just like in a workflow when you are creating an email record, the body of your email will need data in the description field.  The field in on the connector as per screen shot - and what you enter here will appear in the email body.  However, even if you format/space it out in the connector, it will come through as text with no spacing unless you use html.

Html is not my strength, so I can't advise there.  Fortunately I'm using another application in it's place to format the actual emails, called DocumentsCorePack through MSCRM-ADDONS.

it is the same issue with both CDS or the D365 latest connectors as of what you see in Power Automate today.

 

I tried setting the value as hardcoded email, referenced email or the referenced GUID of the system user or the contact, it didnt work either way.

 

Any help appreciated?

 

Note:  I found one strange thing.  I created a manual EMAIL activity in CRM and selected the From and To field.   Checked how they are getting set by Get Records.  "sender":  field is set with the FROM EMAIL ID and the "torecipients" is set with the TO EMAIL ID.

After I created a new record from Flow and checked the same using Get Record for that new activity and both the values are being set correctly in backend, but in UI, I still see the fields empty.

The connector has to be CDS (Current Environment) instead of just CDS.  And for it to work, your trigger action also needs to be done as a CDS (Current Environment) from within a solution.
