Update a SharePoint List column from Excel data

Hi, 

 

I am trying to save the Priority score number from Excel data to a SharePoint list using the below flow. My flow runs successfully but the data is updated after few hours. Can someone suggest me to improve the duration of the flow or point out if I am doing something wrong here.

Hi @krunal-amin ,

Please show me your Recurrence Parameters.

May I ask which region you are in, when do you want the flow to run, and how frequency do you want it to run?

Hi @krunal-amin ,

Then I think you don’t need to use Recurrence trigger.

1)You can trigger the flow when a file is modified, add a specific condition to the trigger.

2)When the Priority Score is modified, list the rows in the table.

I actually did not get why you suggested the trigger 'when a item or a file modified'. 

The logic of my workflow is as follows:

A Priority score gets updated on the Excel online sheet.

I aim to display this updated Priority score on my SharePoint List item column, which is initially set to 0 upon creation.

I know what you mean, isn't your requirement to update the Priority Score in the list when you modify it in an Excel table?

If you use the When an item or a file is modified trigger, when you modify the Priority Score, it triggers the flow and then updates it in the SharePoint list.

This eliminates the need to trigger a flow every minute to check if the Priority Score is updated.

Hi @krunal-amin ,

If you don’t want to use the When a file is modified trigger or use Recurrence as the trigger, then I ask you to configure the correct parameters in Recurrence.

I'm in UTC+8 zone and want this flow to start on April 17, 2024 at 9am and run every minute.

I added the Start time, but the problem is that it doesn’t update immediately. It still takes several hours for the update to reflect in the SharePoint list.

I attempted to use the ‘when a file is modified’ trigger, but I received a warning that it might result in an infinite trigger loop in the condition action. My update item remains the same as before.

Hi @krunal-amin ,

It looks like get too many items in Get items Action, do you set the condition in the Filter Query of Get items?

I think you can set a condition, for example, when the Title in the excel table is equal to the Title of the item in the list,

In this way, you can use Get items to get a record, if the length is determined to be greater than 0, only one record needs to be updated.

This drastically reduces the update time, so that the item is updated immediately.

If you can provide a screenshot of your Excel Table and SharePoint list(Privacy information can be coded),I can refer to these two data sources to help you write the expression of the filter query.

I already have set a condition in the Filter Query of Get Items. It is when WR ID of list is equal to WR ID in excel:

You seem to have used the wrong trigger.

I used the When an item or a file is modified trigger, not the When an item is created or modified trigger.

Remember to set the corresponding conditions in the trigger.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
