When a user clicks a reject button in email with options then he should be taken to the sharepoint list to enter the comments for that particular item.

Hi

I have a flow in which I used to send the user Approve and Reject buttons using email with options. I don't want to use any other email pattern. When the user click on the reject button he should be able to enter the comments section in the microsoft list for that particular item

You can follow these steps:

 

Ensure there is a “Comments” column in your SharePoint list to store the rejection comments.

In your existing flow that sends the approval email, add a link to the specific list item's edit form in the rejection option of the “Email with options” action. Construct the URL to direct the user to the edit form of the specific item. The URL format should be like: https://[your-site]/lists/[your-list]/EditForm.aspx?ID=[item-id]. You can fetch the [item-id] dynamically from the item that is triggering the flow.

 

In the email sent to the user, include clear instructions guiding them to click the link to enter their comments for rejection. Ensure that the link is only included or highlighted in the rejection option to avoid confusion.

 

After the user has rejected the item, the flow should wait for the item to be updated. You can achieve this by adding a “Get changes for an item or a file (properties only)” action, and then a “Delay” action to provide the user some time to enter their comments. After the delay, you can add another action to check if the comments section of the item is updated, and then proceed with the next steps in your workflow.

 

By following these steps, when the user rejects an item, they will be directed to the SharePoint list to enter their comments directly into the item. This ensures that the comments are captured accurately and are associated with the specific item being rejected.

Hi there, 

 

If this is your use-case, you need to be using the Approval actions instead of Email with Options. The Email With Options doesn't have the ability for comments, though, you could give them a link to input their comments through another page / link.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
