autmatically change item status to delivered

Hi Everyone 🙂

 

I have SharePoint list where people sends their orders for IT equipment's for example iPhone, computer, mouse, keyboard and a lot more.

The problem is when i order equipment and deliver that equipment after receiving i supposed to go to SharePoint list and change the status to delivered. I many time forgets to change the status to delivered and suddenly there are a lot of items in my list and i cannot remember if i have delivered them.

 

I have 4 categories in the in item status.

1. Not ready-- when we receive an order

2. Ordered but not received-- When we order that equipment but not received

3. Received--- when we receive equipment then employee gets an autogenerated email notifying him of arrival of the equipment.

 

 

Is it possible to send a notification after 7 days of changing the status to number 2 (Ordered but not received) to the person who send an order of equipment that if he has received the equipment and if he says yes then the status of equipment on the SharePoint list is automatically changed to Delivered?

I've got a slightly different approach to deal with such customer feedback need. Here's how I do that :

  • Build a solution
  • Create a child flow which take concerned item ID as input
    • it will send an email with options (Yes, No) to requester (item creator)
    • On requester feedback, item status is updated
  • Build a parent flow
    • It retrieve all items filtered by status
    • For each, it calls child flow sending it current item ID

My parent flow :

Note: my parent flow use manual trigger for testing purpose, but you can switch with a scheduled one running every days. Then filter items on status value and creation date where it equals creation date + 7 days.

A common approach would be having a second flow on the same list with a daily schedule.

The workflow queries all the items from the list that have

- change date older than 7 days

- status number 2

 

After querying the items it iterates all found items and sends a Mail to the person who sent the order of the equipment.

 

When the person then sets the status to Delivered, the item will not be found the next day the workflow queries pending items.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
