email a selected user

I know this should be possible but cannot find it anywhere.

I have a flow which is trigered by a user in SharePoint and sends out a couple of emails, nothing speacial about the emails.

Within the flow I would like to have the user who triggered the email be able to select a user and the flow email the selected user (I can't rely on user's manager as this is not always aprop).

I found the solution I was looking for by accident. It's not obvious so I though I'd add some screens.

selected item', just under the advanced options is 'Add an input' and from here I was able to select the email option and a message to the user. When the user starts the flow they are promted for an email address and this can be used later in the flow to direct emails to the selected recipient.

Hi @IMAX99 as the user is starting this from SharePoint, the way I would probably do this is to have a custom SharePoint form in PowerApps where the user can select the recipient of the email. If the recipients are all within your organization then the user could start to type the recipient's name and it would come up from Delve. If the recipients are are external or a mixture then you'd need a separate list to lookup against. Then on submitting the form that would trigger the flow and send the email to the selected recipient. Get back to me if you need more detail.

Hi @RobElliott that sounds like a possible solution although I'm not sure if I'll be able to use it for two reasons...

Firstly, my flow is to resolve a document control issue, so the flow is running on a selected document, emailing out to a few users and copying the document to another library.

The other issue I might have is that our IS dept have yet to clarify if as an organisation we'll be able to use PowerApps or if it'll be locked down (very frustrating).

I'm really surprised there's not a way to handle this in Flow as I seem to recall seeing something similar in the standard approvals flow whereby a user can select another Office 365 user to send the email to. BTW, they're only ever going to be internal contacts.

An approval can be re-assigned but that is specific to approvals. I don't know of a way to select a recipient within Flow itself when the flow starts. What you could do is to have a column in your SharePoint list for the recipient that the user either types the email address in or selects it from a list and then you use that column in the To box in the flow.

From your description, it seems that your flow is triggered by For a selected file.

 

If you want the user who triggers the flow to be able to select a user, please consider adding a Person or group column in the library so that the user could select the user and send an email to the selected user from the library.

I suppose that's a possible way of handling it. This would involve having a list of users to populate the column and said list would obviously need to be maintained as staff left/joined. I was hoping for something a little slicker and less onerous but you're right, I could go with this.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
