"Report requested for export is not on dedicated capacity" using Power Automate(Power BI)

@danhoff - would you mind posting your solution? For those of us that don't have Power Automate Desktop licenses, would it work with Power Automate Cloud plus the On-premises data gateway in the same way?

So for me the answer to the original question is:

• if you want to automate generating a PDF using a flow that is triggered by an external event, potentially many requests simultaneously, host the paginated report in the power Bi service in combination with power automate to export the PDF file, the only option I see currently is paying for Capacity ($$$$ per month)
• If you control how often the trigger is fired (for example once a month), you could build a flow that calls a Desktop script on a dedicated machine that exports the PDF using Power BI Report Builder. This is free.

Other approaches involve an interactive user who has to click, this costs you at least one premium per user license.

My report contains confidential information, so I'd rather not share it, but in essence my recommendation would be to:

• open power automate desktop
• create a new script
• start the recorder
  • launch Report Builder
    • open your report
    • Run
    • Export To PDF
  • Close Report Builder
• Stop the recording

This will give you a script with a series of actions that you can still modify and parameterize.

The 5,000/month fee is killer. At one point we considered writing our reports in python so that we could have full control of the distribution of reports. I am still experimenting with what you have suggested, hopefully I am able to make something work.

I have a PBI pro license and use PBI Paginated reports but still get blocked. I spoke with MS sales and they told me that the PowerBi Premium Per User, which is about $20 a month, only allows for one PDF export using PowerAutomate every 5 minutes. So disappointing. I will have to go the PowerBi Desktop route but no sure how to loop through all the values in my parameters filter.

As of January 2024, what is the status of this now? 

I work as a consultant and we all have Premium per User.

Most of our clients have Pro or PPU, as far as I know no one have PPC. 

Today I tried Power Automate to populate a Power Point with PBI data in order to showcase the concept for a potential client. 

However, I get the error message explained in the first post. Is the problem that I (nor the potential customer) have PPC?

Is there a way around this in that case?

Yes it is.  And they are laughing all the way to the bank.  Add this to the new licenses for Copilot and the constant push for Dataverse licenses.  In my organisation, we spend more on Microsoft than any other vendor, including our ERP vendor.  Our CIO has about had it.

I tried this feature with PPU (power BI Premium per user) and Power automate Per user plan.

It works for me. The paginated report should be in a Premium workspace (with diamond), not in a PRO workspace

With PPU license I just can create a premium workspace.

So the cost of this is around 20 USD/ month for one person. It is enough to have one person at the company, the workspace and the Power automate flows are owned and operated by him.

I think it's feasible for this purpose.

If I understood correctly, there was a limitation on the number of reports you can generate within 5 minutes. Has this restriction been lifted ?

Yes, I realized, that there is a 5 minutes restriction. So When I want to generate 10 reports, it takes 50 minutes.

So it's not suitable, when you want to send hundreds of documents at once. In that case you need a higher capacity license.
