AADUser Lookup

I am using AADUser table as a Lookup column in another table but experiencing problems.

- The primary name in AADUser is not unique

- The records in AADUser include records for disabled accounts

Any suggestions as to how I can achieve an accurate user lookup? Many thanks.

Of course, happy to help! If I'm understanding correctly, you are viewing that lookup here:

If that's the case, then yes, you will not see the filtered lookup view, as those are configurable for forms in the UI. If you're trying to filter for users, then you would do that in the form editor. So from this page, select the main form that goes with the related table you're working with. In the form editor, add the lookup column into the form, then select the lookup view you modified. Save and publish and you should be good to go!

If you're working with a different use case, kindly provide some more details so I better understand.

Hi rfainter123

Thank you so much for your clear explanation and for staying with me on this. I now understand that the Table, Edit option does not use the lookup view and that this has to be achieved through a Form. So grateful for your patience. Best regards.

Hi @TonyHoll ,

The below two columns in AAD User table should be useful for you to get an enabled unique user:

You will want to change the lookup view to filter out the disabled accounts.

  • Go to make.powerapps.com and select the correct environment
  • Select Tables, then find AAD User
  • Select Views, then locate the AAD User Lookup View

  • Next, change the filter by clicking Edit filters in the right pane:
    rfainter123_1-1687365170458.png

  • Add a row to your filter and make it look like this:
    rfainter123_2-1687365231437.png

  • Then Save and publish the view. Now only enabled accounts will show in the lookup

Hi rfainter123

Thank you for your reply. I understood that the filter would not work as AADUser is a virtual table. In my tests, after publishing the lookup view with the filter, I still see both enabled and not enabled. My test is sing the lookup in a Table, Edit row. Is this a vild test. Be very grateful if you would confirm. Thanks

Hi TonyHoll,

Your test does seem valid and just to be sure, I recreated it. Here I created the lookup on the User table, and filtered the lookup view of AAD Users to show only those whose first name is Yosef. As you can see, the lookup is only showing two records:

rfainter123_0-1687455928404.png

To troubleshoot, did you:

  1. Publish the lookup view?
  2. Select the lookup view in the related table's form?

Thanks for staying with me on this one rfainter123. I am new to Power Apps / Dataverse. I have published the lookup and other views with the filter set. My test though was as follows...

Tables >> select table >> Open >> in 'columns and data'  search in the lookup column. This is where I see both enabled/not enabled. Is this test valid and which view will be used for the lookup. Really appreciate your ongoing help.
