Understanding data capacity

We have a number of PowerBiPro users using our powerbi reports

 

We have just got emails from Microsoft saying we are out of database (currently using 1.7gb) and file space (currently using 2.3gb) and they are going to start crippling our powerbi enviroment.

 

I am trying to understand this though as I thought each user licence brought a 1gb allowance with it, in which case we should have plenty of capacity.

 

I also don't understand why we have just received these emails as on the graph I can see the space we use growing slowly and steadily for months

 

The database table that's growing is "ImportJobBase" and in filespace "web resourcebase"

 

Can any help me understand?

 

I tried raising a support ticket but they didn't seem to understand this aspect of the product?

ImportJobBase tracks a copy of every file import you've ever made, so as long as those imports complete successfully it is generally quite safe to bulk delete old imports, saving you a lot of space. 

WebResourceBase tracks a base64 encoded copy of every HTML, JS, SVG, PNG, and any other kind of web resource you have put into the system. Even in a vanilla install, this table starts out quite large since it includes every icon, every OOB script file, every piece of ribbon button logic.

 

I don't know what kind of user licenses you have currently, but a 2Gb cap sounds like you are using Dataverse for Teams maybe? That cap is solid and does not change with user licenses; it is a different product entirely from Dataverse. Actually, you don't need any dataverse or power platform licenses at all to run Dataverse for Teams; you just need Office. 

 

If that sounds like an accurate description of what you're seeing, try moving your users over to a real Dataverse org instead of Dataverse for Teams. You should see entirely different storage caps there, impacted by User Licenses.

Additionally with an initial license of Power Apps Per App or Power Apps Per User you will be allocated a base amount of space in the Dataverse and for each additional license you will be allocated more space, depending on the type of license...  The following is from the current licensing guide (here).

As you can see here, you will get a default 5 GB of storage in the database for the first Power Apps Per App license or if you get a Power Apps Per User license it would be 10 GB instead (this is not incremental).  You will then get additional allocations for users of 50MB for Power Apps Per App licenses and 400MB for Power Apps Per User licenses.

 

Similarly you can see the allocations at the File and Log capacity.

That's great, how do I check if I am using " Dataverse" or "Dataverse for Teams", I raised a ticket with PowerBi support but the outsourced company that does it for Micorosoft, doesn't know and google has failed me:-(

An easy way to check is to go to admin.powerplatform.com and look at your environments.  You will see the Type that will designate...

@NeilRCarmichael There are four types of environments, that I know of: D4T, Developer, Sandbox, and Production.

 

If your production instance is anything other than Production, you should probably have a rather stern conversation with your provider.

 

Edit: Six environment types--I forgot Trial and Default.

The type is production, so I guess that means I am " Dataverse" rather than "Dataverse for Teams", I wonder why I am getting emails from Microsoft saying my database is over is size, they have told me there is currently a bug with calculating the allocation of the "file" size (where  WebResourceBase now resides)

You can also look at the Capacity area in admin.powerplatform.com to see your total capacity allocation and usage.  The following is a demo tenant so it is always over 🙂

This is still a hot mess. 50 MB?  250 MB?  It's unusable.  If they're wondering why this platform isn't being adopted, look no further.  There's no way to test anything out with disk space allotments straight out of 1998.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
