Use Power Automate to add Assigned To to Task in P4W based on Roll

I have a plan to assign the assigned to field in a task in Project for the Web based on the roll (a custom field I plan for the task list). However, in dataverse when you update a row in tasks, there is no field for Assigned To.  In fact there is no field for Assigned to in the table in Power Apps either.  How does the user get associated with the task in Project for the Web?

What I have found is the Bookable Resources Table and the Resource Assignment Table, the Resource Assignment table holds the assigned to person.  Now it's a matter of figuring out which ID is needed to use Power Automate to create the Resource Assignment.

Hello @jlynch92009,

 

Try Searching Owner Field instead of Assigned to. Because when you set Owner Field with Update automatically the record will be Associated to the Assignee.

when I look in "Project task" table, I see Owner, but that data does not match with the assigned to person on the task.  I also looked at the related table "Owning User" but again, there is no correlation between that and assigned to in Project for the Web.  Does anyone know which table contains the Assigned To user?

I'm also looking for this field, has anyone figured out why it doesn't appear in the PowerApp but does the Dataverse yet?!

I have not tested a solution all the way through in Power Automate, but I think I have honed in on the topography you're after while I was trying to build a "My 3-week look ahead tasks" view.  

 

The Resource Assignments table holds all of the individual records for the Project Tasks table associations that appears as the "assigned to" People Picker in Project for the Web.  If you want to trigger a flow that will grab the people assigned to a new task or people added to a task, you use the Dataverse connector for "When a row is added, modified or deleted" and point that action to your Project Tasks table.  

Next, add an action to List Rows for the Resource Assignments table and filter the rows by msdyn_taskid eq <Project Task ID> dynamic content from the trigger.  Now you have a concise list of all of the resource assignments that have been added to the project task in question that can then be used to execute other actions in your flow.  The shortcoming of the logic above is that the Project Task might not register as having been modified when you add a resource, so more testing may be needed.  You could always try triggering from the Resource Assignment table and harvest the metadata from that trigger to populate another table.  

 

This is the relationship I leveraged to display resource assignments based on Bookable Resource = current user.

 

Hopefully that gives you some additional breadcrumbs to chase.

Thanks @actual_darlingAfter 3 months of "support" with Microsoft, apparently retrieving a bookable resource in a Power App is a "customisation"?!?! 😵 Crazy as I can get all the other fields in the table apart from "Assigned To"...

I'm currently experimenting with using the formula field on the table as a new column, as this allows me to replicate the `Bookable Resource` without the need of an additional Power Flow. Its at the stage of trying to finalise an accurate join between this replicated field and the Users table, so I can have confidence it won't cartesian join etc. (challenges around one task having multiple assignees, sigh). 

Hopefully I'll be able provide a further update soon!

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
