Here is my scenerio...

 

I have a SharePoint list that I have to hide from the public. So I created a form with the intention to look up the list item. For example. I want to look up is John Doe is in my share point list. So in my form I put a first name question and last name question. If John Doe is typed correctly in the form I want to send an email saying John Doe is in the data base. If typed incorrectly the email will say sorry. My flow keeps matching the form ID number with the list ID number. So if John Doe is ID number 5 in my list but the form ID is 3 it always comes back as sorry. Can anyone help?

First of all, I do not really understand why there is an Apply to each loop in your flow. When the flow is triggered by a Forms response, there should only be a single response to process (the one that triggered the flow). Are you using some other actions between the trigger and the loop?

 

Then the obviously incorrect thing you're doing is that you are trying to get a SharePoint item using a Forms response Id. These do not match. The Id is a unique thing. The Forms response Id will give you the specific response. It has nothing to do with SharePoint items. What you need to do instead is use the Get items activity to get all items. You can use a filter query there to say something like {SharePointColumnName} eq '{FirstName}' where you would need to replace {SharePointColumnName} with an actual column name where you store the first name and {FirstName} with the dynamic content from the Forms response. You can do multiple filters like that (for last name, too) by separating them with an AND operator.

 

This will return an array (even if you filter it with the filter query, it will return an array of one item).

 

You can then use the empty() expression in your condition to check if the resulting array is empty or not. Since all you need to check is whether an exists, this will be enough. You can do a Condition action with empty(Outputs('Get items')) in the first operand and bool(1) as the second operand. This will be true if the array is empty (no items with the same name).

I created a form as shown in screenshot 15. I want to use this form to look up a name in my person list. Right now I have my flow set up as follows. "when a new response is submitted>get response item>get item>my condition>if the equal the list name then email>if no then dont email"

You can look at screenshot 17 and 18 and see my set up. When I trigger the flow it succeeds but the condition keeps triggering no. I looked up the body information and it is matching my form ID number to the ID number on my Person List. So if it is the 20th time I ran the form it will match try and match with ID number 20 on the person list. I need it to find the First Name and Last Name on the person list using the form.

I didn't explain myself very well. It is hard to do so in text. I appreciate the feedback. I was able to get where I needed to go on my flow.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
