Power Automate - Salesforce - Update Record (v3)

A am currently setting up a flow to create an associated Sharepoint folder when a new record is created in Salesforce. I have successfully connected to Salesforce and when a new record is create, it creates a Sharepoint folder with the record name. The next step I am working on is updating a field in Salesforce with a link to the Sharepoint folder. When I try to use the Update record (v3) action I just get the error "Record not found". I cannot find a tutorial anywhere on how to use this action and the error message is too generic. I just referenced the record in a previous step to create the Sharepoint folder, so I am not sure why in the next step the same record is not found.

I don't know if you've solved this issue, but I am trying to do the exact same thing!  I think what is happening is that the "on create" piece is executing BEFORE insert.  So, even though you get an id back, the record hasn't been saved yet in salesforce.  It doesn't seem like there is any option to indicate before/after insert, unfortunately.

Ok, I think I found away to get this to work.  In the flow that does the creation of the sharepoint folder, I added a second step that writes the id of the salesforce record into a new column I added to hold that.  Then I added a second flow that triggers when a sharepoint folder is created/updated and that id column isn't blank.  Then I do a SF update to update the link field back in SF.  It takes a bit, but does work. I'm not sure it is ideal since it triggers every time there is any update to the folder, and it really just needs to do it when the record id gets filled in.  I don't see a way to check for an update to that id column specifically, though.  

 

@treegossett , @justinrupp  would you be willing to share screen shots of the code of your flow in PowerAutomate?  I am also trying to figure out how to name the folder created in SharePoint using two of the fields in SF in the name column and a link to the sfdc record in the a separate column.  Much appreciated.

Hi @Megas1 - it sounds like your case is a little different than mine was, unless I am misunderstanding.  Are you just trying to add data from the SF record on the Sharepoint side, including a link to the SF record in SharePoint?  In my case I was running into an issue trying to create a link in SF to the Sharepoint folder.  I would think you wouldn't have the same issue if the link is on the Sharepoint side back to the SF record.  What specific issue are you running into?

@treegossett thank you for your reply.  Let me clarify what I am trying to do:
When a record is created, create a folder in sharepoint, in a specific location.  The folder created inside sharepoint should be named as follows:  with the concatenation of two fields from salesforce: Field 1: Record_number_c and Account_Name.  For example:  Record number: 0001234, Account Name: SampleName.  The flow should create a folder in SharePoint named:  00001234 SampleName
In addition,
a) Extra column in SharePoint: since the folder is added to SharePoint, I would like to add a column that contains URLs back to the Salesforce record.  This is of course secondary requirement.  

b) Field in SalesForce record URL to the folder created by the flow.

 

The idea is that files can be stored in SharePoint accessible to non-Salesforce Users, while there is a link from SF to the location of the files.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
