When using the new trigger "When an item reaches end of its retention period", I cannot get it to work.
The docs for the step can be found here. Where it states:
"Triggers when a SharePoint, OneDrive or Exchange item (which has a retention label applied to it) reaches the end of its established retention period. When using this trigger, the retention label configuration must be set to trigger this action at the end of the period as well."
I am unsure if I am missing a configuration option. I have set a few retention labels up, some with 1 day, some 7, some 14 etc, but none appear to be triggering this Flow. It does mention that "When using this trigger, the retention label configuration must be set to trigger this action at the end of the period as well.", which suggests there is a configuration option on the label to trigger a Flow.
Has anyone had experience in getting the trigger to work? Any help is much appreciated. I understand the trigger is in preview, but that doesn't mean it should not work entirely.
I found it! First you need to create a Flow in the default environment. Wait at least a day, but properly more. Then you can create a new label and configure that label to use the Flow. I'm now testing if it work as aspected.
Nothing special. It's active on my demo environment, where I first created a Flow and wait for a couple of days. But it's now also available on a tenant of an organization I worked for, where I didn't create a retenion Flow yet. So I think MS is still busy to enable this functionality on all tenants.
Just a quick follow-up to this question / related topic, but were you able to get the flow to run at all @verm1084 ?
We've set up the retention label, and flow, and had a test retention label set to a retention period of one day, however the flow as not been fired or triggered since updating the documents yesterday?
Wondering if you or anyone else on this thread has run into this issue and/or have any potential steps to alleviate / resolve? TIA!
@pricelesstarget ... I haven't had much luck. I managed to get one flow to run which failed but since then nothing. Im still trying but its puzzling me!
Let me know how you get on!
It can take 7 days before the retention settings are applied to content. If you have a label 'delete after 1 day', it can take a couple of days before the labeled item is removed.
Sounds good, appreciate the input!
The use case that I am working with is actually quite intriguing-basically long story short, when the retention period is over (in this test case, of one day, in reality it will be one year), the flow will check an external system to see if the accounts related to that document are still active, and if so, then it will reapply that same label, and if not, then it will either 1) delete the item, or two, send it for disposition review
That having been said, it has been about 5 days since the label was last applied, flow still has not run, and will circle back to let y'all know if it does or not-will definitely keep you posted @DL1979
FWIW, Just circling back to this thread / issue that has arisen of the flow not triggering-it has now been 9 days since the 1-day retention label was applied and the behavior is still the same unfortunately; the flow itself has not triggered 😕
Hi All,
Glad that it seems this feature is now available. Looks like I tried to implement it right on the cusp of it being release.
Regarding @pricelesstarget's issue with the Flow not triggering, I have seen this with a colleague of mine, where-in, for whatever reason, a retention label of anything less than 7 days would not trigger things such as disposition reviews etc. it was almost as though it wasn't considered a 'real' label. Unfortunately I have no official evidence for this other than what we observed. (Tips for testing an auto-apply Retention Label policy – Joanne C Klein)
It may be worth giving it a go with a longer retention period and trying that. I understand this will make things difficult to test, but I would recommend doing this (setting it to 7-14 days retention), and if that triggers the Flow, simply use the test from a previous run feature to perform other tests.
I will create some screenshots, I prepared a test again. It's a label with a retention of 1 day and manually assigned. When the Flow is triggerd in one or more days I will reply again with screenshots.
Can you describe the details of this flow, my flow in delete file step show error 404 not found, but actually file is in existing library
