Create a task when an Item is modified and update this item again when task is completed

Hi,

 

I'm trying to set a workflow but I'm having some troubles getting the task. 

I have an item in a list. If this item is modified (colum "Status" is modified to : "Get signatures"), then a task needs to be created. (This is working fine). But when THIS task is completed, I need to update my original item and modify the status from "Get signatures" to "Signed". 

I'm using the : update item, but not sure about how to get that task.

Hi @Eri_V 

 

There are triggers that fire the Flows when tasks are completed, there is one for Planner and one for Outlook, depending on where you are creating the task you could use one of these triggers to accomplish what you need.

Hi. Thanks for your answer. Yes, I know, I used that trigger but I don't know how to indicate the specific item that needs to be updated. 

Please take a look at my flow:

1- Once task is created, what should I do to indicate that if THAT task (specifically) is completed, then perform next action. I used the Get task, but not sure is the right way

2- Once task is completed, then, I run the : Update Item. I'm able to select the site, the list, but I don't know how to specify, that my first item (first trigger), needs to be updated. My flow is currently updating all items (which is not ok).

Hi @Eri_V ,

 

One flow could only has one trigger, so you should create two flows. And you need to make sure the Title of task and item would be same and unique.

The first one when an item is modified in the list:

The second one when a tsk is completed.

I'm getting the 400 error msg. Badrequest

Hi @Eri_V ,

 

Please remove the Apply to each in your flow, just create the flow as my provided screenshot.

And provide the run history of the flow if the flow couldn't flow.

You were right. I modified the flow, but it's still showing up the same error msg.

You were right. I thought you were trying to highlight some info. such as the title. I should have ask. 

It's working. Thanks.

 

But now, I have an issue since I had to modify the task titles.

I'd need P.A to create at least 10 automatic tasks associated with each item depending on the performed actions. What I've done before your advice, is add some info. regarding the "task type" in the task title, i.e. Enterprise 1 - Get signatures. As you've suggested, I modified this approach and I set up the same Item title i.e: Enterprise 1

As you see, I'm no longer displaying: Get signatures. 

 

more details :  

Item: Enterprise 1 

Statuses: Submitted, Get signatures, Signed, Sent to committee, Approved by committee, Rejected by committee, Contract, Contract signed

 

With my new flow (thanks for that), an automatic task with the title: Enterprise 1 will be created. But this could confuse users and managers since they won't be able to understand at a glance if the task is associated with: get signatures or to do the Contract.

 

Any suggestions?

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
