Flow only applying to first row of excel file

Hi,

 

Excuse my lingo if it's incorrect - just starting out.

 

I have a OneDrive workbook and I have built a flow that works how I intended it to work - the issue is that it is only actioning for the first row of the excel file.

Using recurrence to run at regular intervals.

Originally, I just had Get Row as the next step - then I added List rows present in a table - made no difference.

Once it has the rows it checks if a field equals a certain value - Reconciliation Complete.

If it doesn't nothing happens and it is ignored.

If it does, it send an approval email.

If approved it does the following actions.

If rejected it does the following actions.

 

Only issues it doesn't continue to the other lines that have a value of Reconciliation Complete.

 

I assume I have a step missing - I've tried adding steps and it either fails or I don't understand what it needs.

No errors appears - there is a tick at each step.

Hi @NicoleDB,

I think you should use "Apply to each" and "List rows present in a table" to have it go through all the rows in the table.
I managed to make it to work in my test. The variable actions are for when you want to use "Update a row".

Hi @NicoleDB,

After testing again, I found that it is unnecessary to use variable if you want to use action "Update a row", sorry about that.
Instead, in the "Update a row" action you can just use dynamic content and put in the "Key value".

Excuse the delayed reply, but I am still having troubles with this one.

Clearly I am not understanding what you've suggested.

Currently still running as I want, just only applying to the first line in the list, not applying to all with the condition Reconciliation Complete.

Hi @NicoleDB ,

I would appreciate if you could confirm if I get your issue correctly. So you have an excel file, and you want to make a flow so that any record that has "Reconciliation Complete" will send an approval email, but the problem you encountered here is that the flow only work with the first record that has "Reconciliation Complete", am I getting that right? 

 

If that were the case, then you should use "Apply to each" so that all the records in the excel file can get checked. Below is my solution with sample excel file, and flow.

In the excel file, I have 3 rows have “Reconciliation Complete” so the flow should send 3 approvals. After I approve, I want the records “Quote” column to update to “Completed”.

This is what I have inside my “Apply to each” control. This will make the flow go through every records/rows inside the excel file.

And this is my “Condition” control to check if my “Status” column has “Reconciliation Complete”.

After that, the second “Condition” control is to check if the Approver approves or rejects. If they approve then the records in “Quote” column will be changed to “Completed”.

Yes that is correct. 

Table of accounts, when a user updates a cell the status turns to Reconciliation Complete.
I have then got an automated flow that runs through the day to look for any accounts with that status and generate an approval email. Once approved it updates the table. If rejected it also updates the table but also sends an email to say need to fix.

 

My flow pretty much looks like what you have.

 

I have worked out my issue now (re did a new flow), but not how to fix.

The reason why I was only getting the first row is due (I believe) to the start and wait for approval. 

Until that first request is completed the flow will not move on to the next account, and so on.

Note - I am also not clear on why it has 1 of 256 when there is actually 1300 accounts listed.

Once I have sorted out this I also have other layers to add:

eg

- if user goes in to workbook and amends anything, it needs to revert back to "unreconciled" and go through approval flow.

- tracking first submit date and second submit date - this I can do via VBA but I can't have VBA in the file to use the flow.

Hi @nico ,

 

Regarding the 256 limits that you encountered, you can change the amount of rows it retrieve by clicking the "List rows present in a table" action -> click Settings -> Turn on Pagination -> then change it to 1300.

Hi,

Yes that has changed from 256 to 1337, I did that on a prior version but clearly forgot.

I have created so many versions at this point but once saved, from what I can see there is no undo and I'm losing components that worked.

 

My issue remains that it wont send the next approval until the first one has been responded to - I can understand the reasoning as the action is Stat and wait for an approval. But when I have changed to a different option it has caused a different issue.

Also now my return outcome response is not acting as it was a few versions ago and is only updating/overriding the first row.

 

I'll just need to keep reading and playing around I guess.

Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
