Flow with Outlook Email and Survey123 Connector Not Triggering

Hello,

I recently created a new flow using a survey123 connector and outlook email connector. When submitting a new survey, no email is sent.

Original Intent: My survey has a repeat where the user can identify follow-up items from an inspection and assign them to specific emails. The original flow was going to use an "Apply to All" loop to send an email to the selected email address (selected in the survey) for each follow-up.

Result: No emails sent.

I have tried the following to troubleshoot not necessarily in this order:

  • Removed the "Apply to All" loop so the flow should send an email whenever a survey response is submitted whether there are follow-up items or not using a static email. I even removed all dynamic content from the email to check whether it was the attributes causing an issue.
  • Copied an existing similar flow that is working but changed the survey and other necessary parameters
  • Used the prebuilt template for survey123 trigger to email
  • Created a new flow from scratch
  • Created new connections for both outlook and survey123
  • Confirmed webhooks are created in the survey settings for each flow (and deleted the webhooks when deleting the associated flow)
  • The survey name does show up in the connecter and the survey attributes are selectable in the following steps as dynamic content so it appears I've successfully connected to the survey.
  • Triple checked that the email is correct (manual typed and selected from suggestions)
  • Tried a different email outside my corporate firewall to ensure the email isn't being blocked

At this point all I know is when I submit a survey nothing happens in Power Automate. I have confirmed the survey response is successfully submitted as a new record is being created in the feature service. However, power automate says that no flow runs have been generated.

I'm sure there is something simple I've missed here but cannot figure it out. Any help would be greatly appreciated.

Thanks You!

Hi @Thumphreys ,

Can you share the output of the trigger on the last unsuccessful run please?  The key is going to be in those details!

Hi @trice602,

Sorry, I'm very new to power automate (and community forums in general) how would I share the output of the trigger on the last unsuccessful run? According to the analytics and everything for the flow, it has never run, unsuccessfully or not. I'm not even sure if it is an issue with Power Automate, Survey123 or something else.

Thank you for replying!

Hi @Thumphreys ,

Ok, we are getting there.  The root cause is then your not connected to your Survey123 if your trigger never fires (even if you can see the survey in the dropdown).  That just means it is there but doesn't mean you have access to use it through Power Automate.  Try clicking on the "..." and look at settings and also visit this page:

Webhooks—ArcGIS Survey123 | Documentation

Long story short:  your flow doesn't have access to the survey results (yet) and is the root cause.  Sorry, I wish I could be more help here!

Thank you for the help @trice602,

I ultimately ended up recreating the survey and flow and everything looks like it's working now. Still no idea why it didn't work with my original survey. So good news: it is working; bad news: I don't know why.
