Recording Form Responses to SharePoint List - only getting one attachment for SP list item

Hello,

 

I was able to create a Power Automate flow to record form responses to a SharePoint list, including getting attachments. The flow works, but when it comes to submitting multiple attachments, only one attachment shows on the SharePoint list item, although all the attachments that were submitted do show in the folder. 

 

I attached an image of my Power Automate flow. I'm sure I'm missing something to allow multiple attachments show on the SharePoint list item, but I don't know where to start. I appreciate any guidance or assistance.

First, you are working off old documentation. You don't need an apply to each to get the response details anymore.  Each response will trigger the flow once.  The other problem I see is using First() iin your second loop when adding the attachments.  It looks to me like you are adding all the attachments in terms of content, but giving each one the same name which means they are overwriting each other.  I believe that's why you are only seeing one attachment in the list.

Thank you for that. So how do I resolve it from overwriting each other?

Just as you use the File Content there should be a File Name in the dynamic content dialog. When you use First() you are getting the first name of the set.  Each file should have its own name.

Thank you, so the First() expression is relation to the Parse JSON that I used in the flow. When I tried to change it to File Name, the flow failed.

There should be something in the current item for the loop that you can use. Without access to your data I can't tell you exactly what it will be.  But when you use First() you are getting the first record from the array in Parse JSON.  If the Parse JSON is on the array of documents then you are only getting the first document.  You want to loop on the records in the parse JSOn array and get each document name and content.

This is how I get the attachments from a forms response and attach them to a SharePoint list item:

  1. First you want to check to make sure the response actually contains attachments.
  2. If it does, on the yes side of the condition use a Parse JSON action with the attached schema. The content of the Parse JSON action will be the question in your forms response that contains the attachments.
  3. ​​Follow the Parse JSON action with an Apply to each. The Appy to each action will contain the Body of the Parse JSON action.
  4. I don't remember why I did this next step, but I think someone was able to attach a 0-byte file one time and it cause the flow to fail. So now I do this check, which is to have a condition as the first action in the Apply to each to check if the size is greater than zero.
  5. If it is, on the yes side use Get file content (OneDrive for Business action, which is where the attachments are stored from a form response)  and use the id returned from the Parse JSON action.
  6. Finally, use the Add attachment action to add the attachments to your SharePoint list item. Use the name from the Parse JSON for the filename and the Body from the Get file content action for the file content.

    The flow will look like this:

     

    Note, in my flow where this action occurs, the SharePoint list item is already created in an earlier step. In the Add attachment action, you use the ID from Create item action to specify which list item to add the attachments to.

Will this work also if the form has no attachments? I've run into the issue of the flow working when attachments are added to the form and failing when they aren't, though I will always have both types of submissions...

Yes, if you note the first action in the image I posted, it is a condition that checks to see if any attachments were added to the question in the Forms response. It uses the length expression to determine how many items have been attached. If nothing is attached, it will return zero, which is why the condition is greater than zero. The following is the expression:

length(outputs('Get_response_details')?['body/r6fc40495e458471d9746bfcbb098f156'])

You will need to update this to use the correct value from your dynamic content for the question in the Forms response that contains the attachments.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
