Write a Flow - Submitting a MS Form that Updates 1 field in an existing SharePoint list ID#

I have searched all the solutions posted but they do not make sense yet. Seems like this should be simple but I need a little help translating what I am trying to achieve and how the fields in PowerAutomate relate. I would like to create a flow that when a MS Form is submitted, the flow updates 1 specific field in an existing SharePoint list ID (MS Form field name "Grant Amount Request" SharePoint Column Name "Intended App Amount"). We have an existing SharePoint list that has many entries and only 1 field in 1 existing item ID needs to be updated when an employee completes an MS Form. The MS Form asks for the ID # and submitters email address to help the Flow identify which SharePoint ID & email in the SharePoint list to pull up. What makes sense to me is once we get the Flow to find that SharePoint ID it needs based on the Form ID # and email address the submitter enters, then we tell it to update the 1 field named "Intended App Amount" for that specific ID & email addr. I am having a hard time trying to figure out what fields in the Flow can simply achieve this. So far, this is what I have. Thank you in advance for your help.

The expression is for get an int value which is used in "id" field in "update item" to find the the record which needs to be updated.

 

You do not need the "get items" and "apply to each" to find the record which needs to be updated. Just like what I said above, we can use the "GranID#" in "id" field of "Update item" to find the record directly. Of course, your method also works.

 

After understanding the logic, the most important thing is how to use "GrantID#" to find the "ID" of SP list, since "ID" is a number, so we need to make sure that the "Grant ID#" we get in the flow is also a numeric type, which is why I used "int" in the initial reply.

 

If "GrantID#" field in your form is a text type question, then you need to use "int" to get the number. Instead of using "GrantID#" Dynamic content directly, update the expression by filling in "int()", then placing the mouse in the middle of "()", going to Dynamic content and selecting "GrantID#" to put it in.

Hi @sledgwick2 ,

 

If you have a question about the ID in the SP list in your form, you can get the answer to this question and look up a specific record in the data source based on this ID, each ID is unique in SP. You can refer to my test.

The expression:

int(SelectTheQuestionForIDInFormInDynamicContent)

Are you writing an expression telling it to find the SharePoint id based on the "Grant Amount Requested" field in the Form and placing it in the Update item ID field? Thanks you very much for your help.

I tried a new flow but still getting an error. Does this look like I am closer to achieving what I want? When a form is completed, and a submitter adds the Grant ID # on the form (this should match the SharePoint item ID #), then completes the rest of the form (including field called Grant Amount Requested), we would like to flow to find the matching ID # in SharePoint then update the field in SP called "Intended App Amount". 

Can the flow find the Item ID then update the following field in the existing SharePoint List ID#?

Form Field Grant ID # = SharePoint field ID #

Form field Grant Amount Requested = SharePoint field Intended App Amount (this field should get updated upon form submittal

If the ID does not match / equal each other, then email the admin of the SP and let them know it did not locate it or match.

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
