forms to flow, then it has to email manager picked up by O365 to approve or reject

im struggling with a flow, i had it worked out and working but this was from my O365 account. so in theory it pulled my manager and emailed him/her.

 

i need to do the same flow but instead of my account i want to use our itsupport account to send out the email etc.

 

problem is in O365 our itsupport doesnt have a manager.

 

what i want to do is:

 

a form with dates and numbers needs to be filled in via forms. then an approval email gets sent to the submitter's email. once its approved the form data must be captured into sharepoint custom list.

 

problem i got:

 

i cant seem to find how to send email to the submitter's manager.

 

i will post my flow here. it might seem messy but this is my 1st attepmpt so sure its not 100% 😛

in my forms for example i got for them to select a date on which the event starts and when it ends but when i want to pull that into sharepoint it does not show under dynamic content.

 

so thats another issue or problem i got, any help would be appreciated allot

Hi @tiaanop123 

 

For the manager part, if the person does not have a manager or it is not fetching fom the O365 (due to data not being updated etc.) you might want to add a field in the form itself, that will get the email id of the manager from the user who is filling up the form. 

 

For the date issue in sp, can you please share what is the datatype of the "start date of the event" column in SP and what is the format there? You will have to format yor date input accordingly to put it in there.

Cool. What is the value that you want to select and put in that column? it should be formatted as yyyy-MM-dd as the default date format in sp is that. If you can share details on the date value that you want to add here, i might be able to help you better. 

 

the default is set and i cant change it, when i create the form it doesnt give me an option to change the date format. this is what I see on the form. and this is the only option i get when i create the question to choose a date. in this case i want to have the start date of the event and the end date. does the same go for currency? i want them to enter the value of the entertainment provided and i formatted the column to be currency R (south africa) but when they type in a number i also dont see it in dynamic content.

Yes. Data types are important to map the columns accordingly. You can try one more thing, initialize a variable and get the value of the forms field to this variable and then use this variable as input in the update/ create item action.

i know how to make the form, choose the date. i know how to create a custom list in sharepoint and make a column a date and time column.

eed is a date type coulmn in my SP list.

i do not see the date field in dynamic field. when i try to do the initialize variable more down in the flow it tells me i can only do it from the top.date variable.PNG

You have to move the initialize varaible action above the apply to each and then leave the value balnk. In the apply to each after the get response details action, add an action set variable and select the above initialised variable. and in this, select the date value of the Form from the dynamic selector.

We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
