"When a new email arrives in a shared mailbox" - attachment versus no attachment

We've created a flow that will automatically create an incident in servicenow when an email is received to a shared mailbox.  Using the flow "When a new email arrives in a shared mailbox" we ran into an issue that the "Has Attachment" configuration is either set at "yes" or "no" (this really should have an "any" option as well) that we set to "yes", and any emails without an attachment would not trigger the flow.  So our solution to this was to build a parallel flow that has the "Has Attachment" configuration set to "no" and that does pick up the emails without an attachment.... but it also is picking up the emails with an attachment, creating duplicate incidents.

 

And as I typed this, I realized I probably could just turn off the one built specifically for attachments, and let the one that is set to "no" pick up both emails with and without attachments, but this seems like a weird bug/quirk to not just let it pick up all emails, regardless of attachments?

It may be that the description here has caused you confusion.

The hint in Has Attachment field is "Should the email contains attachments". It has three options to choose from. After testing, you could find that the effects of these three options on the trigger are as follows.

  • Yes: The message must contain an Attachment, and Flow will trigger.
  • No: Flow will trigger regardless of whether the email contains an attachment.
  • No choice is made: Regardless of whether the email contains an attachment or not, Flow will trigger.

It can be seen that the choice of No has the same limitation as not making any changes.

 

You could also consider using Condition to determine whether or not to contain attachments. Although Flow will trigger, the following actions will only be executed according to Condition.

It is also worth noting that if you want to reference the contents of the attached file in the following action, you need to set Include Attachment field to Yes.

Ultimately "no" ended up being the solution for us, we think, but strangely when we select "no" it does let us use the attachment downstream?  Also seems like "any" is really the choice most people would want here?  But solution accepteed.

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
