Send emails group by Responsible person

Hi,

 

After long research through lots of workflows that are similar to what I want to achieve, I finally managed to reach one suitable for my situation, but did not sent emails grouped by responsible persons with related assets, but sent to all of the responsible persons with the whole list of assets, and 2) did not stopped after running once and sent at least 20 mails until I managed to cancel it..I feel that I'm rounding in circle and perhaps missing an important detail..

I mention that I need it to run it whenever, no specific timeframe required..

 

This is my table:

I want to group them in an email as here:

to: Maria

I would like to start it from scratch as I can not paste any image here..

Thank you for the response, I want in the end to have in the body of the email the Asset Names that refer to that specific person (maria/Jhon) in a row delimited by comma; in the original table I have person's email as Responsible person. 

 

I need to send them a single time a Notification email to update data referring to the buildings they are responsible for, so they won't receive >10 emails as they have more buildings assigned.

 

My current workflow is:

Please advise me if I have to do it other way or just to change something..

Could you share a screenshot of Flow's configuration so that we can provide you with appropriate suggestions to update the configuration?

 

What is the problem you are currently experiencing? Please provide more details.

@v-bacao-msft  really appreciate your answer, I am currently trying to build the flow but I got on error at  Condition -> If yes, and I am sure I did write down as you did.. as below:

@v-bacao-msft sorry for the latest message, I managed to sort it out(I misspelled a ; instead of  . 

 

I have some news: your workflow WORKED perfectly!! Really appreciate.

 

Just one thing to polish, one of the emails came with the table format inside of email's body with a huge white space between Header and table rows as here:

Hi @manuelatarabuta ,

 

I am not sure about the configuration of your Flow. If you configure Flow exactly according to the method I provided, there will be no such problem. Don't leave a big blank when configuring Email body.

 

The location of each action needs to be configured according to the screenshot I provided. When choosing Dynamic content, you need to choose the correct one.

Hi @v-bacao-msft , even though the current workflow worked great, I want now to find a solution to chase those Responsible Persons from whom we did not received requested Asset information data yet and cc -ing their Manager so they will become more responsible. 

Not sure in where to fit some other steps so I can extract information from "Manager" column and to keep as well the initial form of the workflow(requesting to each group of persons information for their Assets and then specify the Asset names in the body of the email). 

Let's consider this list means only to be chased persons, my list is something like:

Would appreciate very much your advice where to add extra steps at the initial workflow.

Inside Apply to each 2, you have apply to each 3 how can we get that currentitem for apply to each 2, please explain this part a bit I'm fresher. Thanks in advance.

We are excited to announce the Summer of Solutions Challenge!    This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can.
