When an event is added, updated or deleted (V3) - changed event data

Hi all, hoping someone may be able to help. 

 

I have a scenario when I'm using "When an event is added, updated or deleted (V3)" to pick up and process new events, deletions and updates from a meeting room calendar.

 

In essence, I'm adding a new event for 30 mins for room sanitisation directly after a new event and assigning to FM. This works absolutely fine.

However, if someone then deletes or updates to a different date I'm running into problems. It seems that in the case of deletions none of the event data is available, only the eventID. I'd like to get the start & end date/time of the deleted event so I can find and delete the added sanitisation event but seems it is not available as the event has of course been deleted. So I end up with orphaned sanitisation events.

 

A similar scenario exists with updated events in that the event data only contains the new start & end date/time (or any other changed data) and not the original data so again - I can't find the original following sanitisation event. I can't find anything that indicates what might have changed either unless I'm missing something. I guess historic info isn't included in the event data.

 

I suspect this may not be possible but before i give up - i thought I'd ask!

Unfortunately, it is impossible to get the start date and end date of the deleted item, and it is not supported that get the previous version of item information. It is by design, and if you like this feature, you could go to IDEA forum to vote this idea, raise it to make it come ture in the future:

Unfortunately, it is impossible to get the start date and end date of the deleted item, and it is not supported that get the previous version of item information. It is by design, and if you like this feature, you could go to IDEA forum to vote this idea, raise it to make it come ture in the future:

@FredT Did you ever solve this issue?  I'm doing the exact same thing and ran up against the exact same wall on the changed and deleted action types.

Hi @FredT ,

So I have been able to solve this issue if you are interested.  I now have a single flow that is adding the cleaning buffer after each calendar event and then also handles the updates and deletions.

As you stated, I could not use the metadata from the calendar event itself so I decided to see if I could post the data in a cross reference table housed in SharePoint or OneDrive upon creation of the original buffer event.

Please keep in mid that this is my first attempt at creating a PowerAutomate flow so I'm sure this is NOT the most elegant solution ... but it works.  I've giving a screen capture of the flow.  If you reach out, I can provide the more detailed data in the actions.

Hi Ron, I know this post is quite old now, but I'm hoping you're still active.  We recently hired a Building Services Manager who has the responsibility of assuring our meeting rooms are cleaned/stocked/etc. after an event before the next one starts.  It appears that you've already done something very similar to what I'm trying to do.  I just want a simple reminder emial send to our BSM 15 min prior to the end of each event as we have over 10 meeting rooms and it's hard for her to keep up when she has 20 other responsibilities. 


Anyway, the main problem I'm running into is with my Calendar ID as it's returning a BadGateway error when I test the flow.  I was wondering if you had similar errors when you started this process?  Also, do you actually have all of the details to each step (expanded) of these flows in your post?

 

Any help you could proved would be greatly appreciated!!

I'll have to go back and review what I did because we are no longer using he functionality with the reduction in COVID related procedures.

Really sorry for the late response, don't know if you solved this or not.
Concerning the question about the Gateway, no, I did not because my connections were back to Microsoft 365.  Are you writing to an on prem version of Exchange that requires a Gateway?  
2nd question, I got around the issue of 10 minutes before the end of the meeting by setting up a 2nd Calendar Event for a cleaning buffer (to also prevent users from booking the resource during cleaning) and then enabled the reminder in the Calendar Event.  I used the end time of the actual room booking as the start time of the buffer event.  By enabling the reminder 5 minutes before the start time, it is basically 5 minutes before the end of the parent event.  (Please see attached image.)
