DefaultSelectedItems set based on Created By field = approver (people picker)

Hi, I wonder if could someone help me, please.

I am trying to set the DefaultSelectedItems of a choice field to automate based on the Created By field being = to the people picker field Approver. However, my code below gives me an error. And I can't seem to find the answer on google.

If(DataCardCreatedBy.Selected.Value = DataCardApprover.Selected.Value,"03 - Approver Approve", "01 - New Request")

Any help would be great.

Thanks Asta

Hi @AstaKeil ,

I needed the Items of the Combo Boxes to see which fields they are displaying as .Value is obviously wrong. I suspect you need.

DataCardApprover.Selected.DisplayName

Got it

{Value:If(DataCardApprover.Selected.Email = User().Email,"03 - Approver Approve","01 - New User")}

that works, so happy, thank you so much for sticking with me. I have learned a lot.

thanks Asta

Hi @AstaKeil ,

Try this

{
   Value:
   If(
      DataCardCreatedBy.Selected.Value = DataCardApprover.Selected.Value,
      "03 - Approver Approve",
      "01 - New Request"
   )
}

Thank you, I will try and let you know how I get on 🙂

Hi, I got below to work

{
Value:
If(
DataCardApprover = DataCardCreatedBy,
"03 - Approver Approve",
"01 - New Request"
)
}

But it of course because the created by field does not update until after you save the default is always "01 - New Approved" it needs to work out who is logged into office 365 when creating the item. Or I would have to create a new field that use completes, not really what I wanted. The idea was to save the approver having to approved if they were the person logged in at the time and thereby the person who the Created by person.

Thank you for your help. Asta

Hi @AstaKeil ,

I assume you are meaning that before the record is saved, you have no 'Created By' value - if so do this

{
   Value:
   If(
      DataCardCreatedBy.Selected.Value = DataCardApprover.Selected.Value ||
      DataCardApprover.Selected.Value = User().FullName,
      "03 - Approver Approve",
      "01 - New Request"
   )
}

Hi Thank you for that.

I get an error with that, I took out the .Selected.Value and get a different error. It's so close. I thought maybe if I could set the logged-in user name or email in a text input field, I could compare them, but I got an error there also; then I thought if I store the approver from the people picker also in a text input field they would compare. You can see from the screen image the error I get. No joy. Add the code to the DefaultSelectedItems V Default does not make a difference. I'm not sure what the difference is so tried both.

Hi, I got rid of the error, had the wrong type of field, but it actually does not set the default of the Request Status field. Odd.

Thanks for all the help.

Hi @AstaKeil ,

That code was for the DefaultSelectedItems - what is the Update of the Data Card and what type of field are you writing back to ?

Hi, So the field I'm trying to Auto Default, i.e. update, is a choice field "DataCardRequestStatus"

And I want it to default to 03 - Approver Approves if it turns out the Approver Combo Box "DataCardApprover"

then when data did not work I tried the text input fields.  I tried your code in DefaultSelectedItems and the Default.

thanks so much for you time.

Hi @AstaKeil ,

They are two completely different things - the DefaultSelectedItems is what is displayed in the control by default before and user input. The Update of the Data Card is what writes back to your SharePoint List. In the case of a Choice field with the Items you have, the Update should be simply

DataCardApprover.Selected

or

{Value: DataCardApprover.Selected.Value}
