How would I edit a record using original forms?

I have a screen with 4 forms.  All of the fields set a variable either OnChange or the OnSelect of the submit button(I know. This is a bad idea but it is what works right now.

When all of these forms are valid you can submit to the data source, which in this case is CDS, and get dumped on a 'Success' screen. On this 'Success' page I have 2 HTML Text fields which pull from two variables that I set on the previous screen. On this screen I have a button to start the process of filling out the forms for a new record using some code like this.

 

Set(varFormData, Defaults('Tracking')); Navigate('Tracking Form')

 

What I am attempting to do is add an 'Edit' button that will allow me go back to the previous screen and edit all of the values I entered. Just not sure how to do this.  Can someone point me in the right direction?

When you add a field to a form, one of the options you have is to select the control type.  If you want a dropdown for a text column, you can choose the Allowed Values control type.  It will set your datacard up with a functional dropdown.

Note: You cannot change this control type once you unlock your datacard.

 

But, as you state, search is a feature you want, so a combobox is it.

Now, looking at your properties, the reason you have nothing showing from the record is that you have nothing in the DefaultSelectedItems property.

You are trying to set the default value using the Default property.  The Default property of a combobox does nothing.  Not even sure why it is there.

You must set the DefaultSelectedItems (DSI) property on a Combobox.  And, you must set it to a record, not a text value.  The record you set it to must match the record schema of the Items property.  (this is why you should only use a combobox if absolutely necessary).

So, that said, your Items property appears to be a sorted list of a data entity called Brands.  So, your DSI to be a record that corresponds to that schema.

Tell me more about the Brands list.  And also what you want displayed in the combobox (assuming Brand), plus if any other controls or values in your app rely on any values from the combobox (beside the Update property - which is fine because your underlying column is a text column).

After reading a little more I guess PowerApps for teams doesn't have all of the features including dropdowns. 

@RandyHayes When I add a field I do not get an option to pick the control type. Once it is added then there is a control type dropdown but no option for Allowed Value(see below). perhaps this is a limitation of PowerApps for Teams?

would be nice to have a dropdown for some of these fields that don't need search.

 

As for the data I want to see in these comboboxes it is twofold. when the form is first being filled out they should be blank. When I am looking to edit a record it would be the data from the form's LastSubmit. That seems to imply I need to have an if statement for the DSI. At least it sounds that way to me or maybe it always looks for the LastSubmit and if it doesn't exist the field is blank by default?

Yes I guess that is a limitation in the Teams PowerApps.  I haven't worked with it to that degree to know all the kinks.

 

As for your Combobox, again the point with that is you need to provide a record to the DSI property that is the same schema as the Items property of the combobox.

Since you are submitting text to the underlying datafield, it will not be suitable to use the text as your DSI as it is not a record.

Since your Items property is the complete table of Brands, that means you will need to provide a DSI that has a complete record that matches what you want.

You can do one of a couple of things:

1) Reduce the columns in the Items property of Combobox to a single column that you want to show in the box and then set the DSI to a single record with that column name and the underlying data.

2) Lookup the corresponding record from Brands based on the underlying record.

 

I would really go more with #1.

So, I don't know the exact column you are interested in but I am going to assume that Brand is the column you are using (based on the sorting in your items property).

If so, then the Items would change to : Sort(ShowColumns(Brands, "Brand"), Brand)

And the DSI would be:

   {Brand: Parent.Default}

 

The Parent.Default will be empty for new records, so your combobox will show blank. For edited records, it will show the correct selection.

Thanks. Each combobox is pulling data from a single column table(minus the built in Created On, Modified By, Modified On amd Owner columns).

 

As for the code to populate the dropdown on an edit I could not get it to work. I can submit the forms and it writes to the CDS. No errors. The fields remain blank however in both FRM2 and FRM4(master)

Sort(ShowColumns(Brands,"crfeb_brandname"),"crfeb_brandname") -  which doesn't seem to be needed since I have a single column in my CDS besides the built in ones.

 

{Brand :Parent.Default} which I see if the problem. Should be {crfeb_brandname :Parent.Default} 

Works great now. 

 

What I am stuck on are the two comboboxes that do not have empty DSI values. They are populated with variables. These variables are tied to a button for a text input field where users can add a new item to the list. Code looks like this

 

 

If(!IsBlank(AddProduct_TB.Value),UpdateContext({newProd: Patch(Products, {'Product (crfeb_product)':AddProduct_TB.Value})});Reset(AddProduct_TB));

 

 

newProd is the variable being used as the DSI value. Works out well to auto-populate that combobox when a new product is added instead of having the user look for the product in the dropdown. I'm trying to figure out the right formula to use to populate this combobox correctly if it is an edit vs a new form.

 

I've tried something like this with no luck

If(IsBlank({crfeb_product:Parent.Default}), newProd)

Hmmm. I think this is a solution. See any issues with it? Seems to work.

@RandyHayes Spoke too soon. This doesn't work. At least not when a new item is added. I guess because the forms are technically in edit mode already even though it looks like a new form? Works fine to populate the field on edit.

Since you have created a variable for newProd, I am not knowing how its value is set.

But, my guess is that it is just text...not a record.

Try this instead:

}
