(changing names for simplicity on my part) If you can help me with this, I don't mind tipping for time. At all. I'm kind of in a time crunch for this project.
I have a SharePoint List where a user can be assigned to: Group A, Group B or Group C.
They should only be able to create and view SharePoint List Items for their designated Group using my power app.
(1) How do I filter a gallery based on the group that the logged in user belongs to?
(2) How do I filter the drop down based on the group that the logged in user belongs to?
Case examples:
I belong to Group A. I go to submit a new item. I should only be able to select Group A from the dropdown because the app knows I belong to Group A.
I belong to Group A. I want to see the Gallery filter all items submit by group A. These can be from me or my Group A Team mates.
On Start=
Set(varUser, User());
Set(isuserinSPGroupA, !IsBlank ( LookUp ( 'Security List', Title = "Group A")));
Set(isuserinSPGroupB, !IsBlank ( LookUp ( 'Security List', Title = "Group B")));
Set(isuserinSPGroupC, !IsBlank ( LookUp ( 'Security List', Title = "Group C")));

Hi @RandyHayes , don't give up on me yet - I'm trying 🙂
Okay, this is my column in my record for Group / Department.
I created a SharePoint Permissions Group for each, each named accordingly.
This is the workflow from the article in my environement. Could you guide me on a few things?
1) Would I have to get http request info for every permissions group?
2) How would I do as you mentioned above?
Example:
If A New Record is created & CompCodeText = PM6, then assign Read Access to Group PM6Access
If A New Record is created & CompCodeText = N04, then assign Read Access to Group N04Access
If I can get one down working i know i can try to do the rest...
@Anonymous
First - Thank you for the coffee!! I do love the stuff!
You are on the right track. You need to provide a conditional section to your flow that would look at the CompCodeText column value and then get the group by request to set the permission.
If you are VERY strict with your naming, then you could "assume" in your flow that it is all correct and simply perform one Rest HTTP request by including the value of the CompCodeText column in the request appended with "Access". Again, that is only if you are going to be strict with that naming...otherwise the flow could fail.
Hi Randy,
No problem!! its the very least I could do with how much time you saved me.
So I closed this topic and marked the answer containing the article. All of it helped but that was the main one that sent me in the right direction! So again, thanks for your help with this topic. I still have quite a bit of work to do but now I am getting the right results.
I do have another formula related Question but I am going to make a new topic on it if I can't figure it out first!
@Anonymous
Always happy to help!
Give your other issue a shot and, of course, if you run into issues - make a post! If it is somehow related to this topic, then either reference this post in your new one, or tag me in it to save the trouble of someone having to get up to speed on where you are.
Happy PowerApp'ing!
On save of the new item in a different table, a power automate updates the column used to assign permission ie Group A Group B or Group C. The app extracts the currently logged in user's information and puts their group assignment in a global variable. Then whatever item that user creates, a power app can stamp it with the global variable in whatever column is appropriate for that table.
I have the same sort of app design, only my issue is one person may be part of multiple groups 😛 My idea was to have a first screen, which offers buttons to the logged in user, one for each group they belong to. The user clicks the group whose data they will be editing, and that click sends the group into a global variable.
In PHP this is session variables and soooooo straightforward.
Hlo,
how can i show the items created by same sharepoint group member in gallery?
POV:
if User1 and user 2 are in same sharepoint group then user2 can see items created by user 1 along with his(user2 ) created items and vice versa
