Patch & Update a List based by Gallery

Hi there,

I have a Gallery in my Power Apps that acts like a "Sync" for a project for the web app. This gallery retrives data from CDS (Project Tasks), what I'm looking for is to pass some relevant data from this gallery in a sharepoint list by using patch (I already done that), but now I want to check if the items exist, and if so to update with new data if something was changed or to keep it

Until now my button patch code is:

All I want is to do a check if data exist, if so update, if not add it.

Thank you !

Patch(
    Middle,
    ForAll(
        Gallery6.AllItems,
        {'Name (Title)': Title5.Text,
        Start: If(IsBlank(Subtitle5_4), Blank(), DateValue(Subtitle5_4)),
        Finish: If(IsBlank(Subtitle5_5), Blank(), DateValue(Subtitle5_5)),
        '% Complete': Subtitle5_2.Text
        }
    )
)

Can you also provide some code ?

There is lot to see and less to understand from your solution.

refer this -

ForAll(
    GaldataAll,
    With(
        {
            Ravindra: ThisRecord,
            lclCurrentID: ThisRecord.ID
        },
        If(
            Ravindra.ID in TimeSheet_Data.ID,
            Patch(
                TimeSheet_Data,
                LookUp(
                    TimeSheet_Data,
                    ID = lclCurrentID
                ),
                {
                    Title: Ravindra.Title,
                    DateTime: Ravindra.DateTime,
                    DropDown: Ravindra.DropDown,
                    EMPID: Ravindra.EMPID
                }
            ),
            Patch(
                TimeSheet_Data,
                {
                    Title: Ravindra.Title,
                    DateTime: Ravindra.DateTime,
                    DropDown: Ravindra.DropDown,
                    EMPID: Ravindra.EMPID
                }
            )
        )
    )
);

Hi @ZeroPower ,

I took a look at what you are trying to do. @jadhav_ravi_oo7  has the right idea.

I took his code and customized it to your situation.

ForAll(
    Gallery6.AllItems,
    With(
        {
            currentRecord: ThisRecord,
            lclCurrentID: ThisRecord.'Name (Title)'
        },
        If(
            Not(IsBlankOrError(LookUp(Middle,'Name (Title)'=lclCurrentID))),
            Patch(
                Middle,
                LookUp(
                    Middle,
                    'Name (Title)'= lclCurrentID
                ),
                {
                    'Name (Title)': currentRecord.Title5.Text,
                    Start: If(IsBlank(currentRecord.Subtitle5_4.Text), Blank(), DateValue(Subtitle5_4.Text)),
                    Finish: If(IsBlank(currentRecord.Subtitle5_5.Text), Blank(), DateValue(Subtitle5_5.Text)),
                    '% Complete': If(IsBlank(currentRecord.Subtitle5_2.Text), Blank(), Value(currentRecord.Subtitle5_2.Text))
                }
            ),
            Patch(
                Middle,
                {
                    'Name (Title)': currentRecord.Title5.Text,
                    Start: If(IsBlank(currentRecord.Subtitle5_4.Text), Blank(), DateValue(Subtitle5_4.Text)),
                    Finish: If(IsBlank(currentRecord.Subtitle5_5.Text), Blank(), DateValue(Subtitle5_5.Text)),
                    '% Complete': If(IsBlank(currentRecord.Subtitle5_2.Text), Blank(), Value(currentRecord.Subtitle5_2.Text))
                }
            )
        )
    )
);

lclCurrentID is a field that is unique in your data like the ID field in a SharePoint List. I made the "Name (Title)" field unique in the Column Setting which allowed it to be used as a sort of ID in this case. If you are unable to do that, you are going to need to figure out what makes an item in the list unique that you can use for the LookUp.

While researching this I also came across some posts from @RandyHayes that might explain some of this better.

https://powerusers.microsoft.com/t5/Building-Power-Apps/For-all-items-in-gallery/td-p/1814471

https://powerusers.microsoft.com/t5/Building-Power-Apps/Patch-multiple-records-in-gallery-using-fora...

When I was playing with this, I found that with the Patch I had to make sure the data types matched.

Its still just adding data to the sharepoint list, i'd made some changes
Its still just adding, the Display Sequence its a most of "unique column" like.

Any ideas?

ForAll(
    Gallery6.AllItems,
    With(
        {
            currentRecord: ThisRecord,
            lclCurrentID: ThisRecord.'Display Sequence'
        },
        If(
            Not(IsBlankOrError(LookUp(Middle,'Display Sequence'=lclCurrentID))),
            Patch(
                Middle,
                LookUp(
                    Middle,
                    'Display Sequence'= lclCurrentID
                ),
                {
                    'Name (Title)': currentRecord.Title5.Text,
                    'Display Sequence': currentRecord.Subtitle5_8.Text,
                    Start: If(IsBlank(currentRecord.Subtitle5_4.Text), Blank(), DateValue(Subtitle5_4.Text)),
                    Finish: If(IsBlank(currentRecord.Subtitle5_5.Text), Blank(), DateValue(Subtitle5_5.Text)),
                    '% Complete': If(IsBlank(currentRecord.Subtitle5_2.Text), Blank(), Value(currentRecord.Subtitle5_2.Text))
                }
            ),
            Patch(
                Middle,
                {
                    'Name (Title)': currentRecord.Title5.Text,
                     'Display Sequence': currentRecord.Subtitle5_8.Text,
                    Start: If(IsBlank(currentRecord.Subtitle5_4.Text), Blank(), DateValue(Subtitle5_4.Text)),
                    Finish: If(IsBlank(currentRecord.Subtitle5_5.Text), Blank(), DateValue(Subtitle5_5.Text)),
                    '% Complete': If(IsBlank(currentRecord.Subtitle5_2.Text), Blank(), Value(currentRecord.Subtitle5_2.Text))
                }
            )
        )
    )
);

Hi @ZeroPower

This line of code should be finding items that already exist in your SharePoint List:

Not(IsBlankOrError(LookUp(Middle,'Display Sequence'=lclCurrentID)))

Some how it is not. You also might need to change this to IsBlank instead of IsBlankOrError. I tend to put in IsBlankOrError.

You can play with this code and remove the "Insert" part until you can get the "Update" part correct.

ForAll(
    Gallery6.AllItems,
    With(
        {
            currentRecord: ThisRecord,
            lclCurrentID: ThisRecord.'Display Sequence'
        },
        If(
//The Lookup will return Blank() if the record is not found
            Not(IsBlank(LookUp(Middle,'Display Sequence'=lclCurrentID))),
//We want to do a Patch to "Middle" using the record found. That is why we do the LookUp to
//get that record. If your 'Display Sequence' is a unique ID then it should already be set
//in your SharePoint list and you should not need to set it again
            Patch(
                Middle,
                LookUp(
                    Middle,
                    'Display Sequence'= lclCurrentID
                ),
                {
                    'Name (Title)': currentRecord.Title5.Text,
                    Start: If(IsBlank(currentRecord.Subtitle5_4.Text), Blank(), DateValue(Subtitle5_4.Text)),
                    Finish: If(IsBlank(currentRecord.Subtitle5_5.Text), Blank(), DateValue(Subtitle5_5.Text)),
                    '% Complete': If(IsBlank(currentRecord.Subtitle5_2.Text), Blank(), Value(currentRecord.Subtitle5_2.Text))
                }
            )
//Remove the Insert function lines from the IF statement
        )
    )
);

You don't have to use a single field in the LookUp to find an existing record. Ideally you would use ID from a SharePoint list. If you are still running into trouble, post more information on Gallery6 and how it is populated.

Are you pulling existing rows from your SharePoint list?
