Update Sharepoint List with PowerApp

Hello,

 

I am completely new to PowerApps and I've searched for hours trying to find the answer to this problem I have, but either the solutions I've found don't work for my specific situation or I am not knowledgeable enough to apply the solutions properly.

 

I have a sharepoint list containing some columns that are prefilled and others that aren't. For example, let's say that I have the following item in my sharepoint list:

1Asdf@asdf.com   

So the first two columns are already filled and the other three aren't. The PowerApp already has the [Date] pre-populated with today's date, [Status] is a drop-down list, and [Comments] is a long-text. Both ID (system-generated) and Email are hidden in the PowerApp since I don't want those to be edited.

 

I have a Power App form that contains those three columns as fields for the user to fill in with a submit button.

I also have a Power Automate flow that sends the user an email with the link to the PowerApp as soon as the item is created in the Sharepoint List so that they can submit the form in PowerApp to update the item with the other three columns filled in.

 

Whenever I press the submit button on the PowerApp, a new item gets generated like below:

2 8/10/2021CompleteBlah Blah Blah

 

Instead, I need all of the information updated to the first line like this:

IDEmailDateStatusComment
1Asdf@asdf.com8/10/2021CompleteBlah Blah Blah

 

I've looked into form edit, patch function, matching by ID, and tons of videos., but nothing seems to be working.

 

I would appreciate any help with this issue.

Also, apologies if there's already a solution to this issue, I probably just don't know how to make that solution work in my case.

Okay...making some progress now!

So then the URL is most likely the best place to pass in the record identifier.  So, let's say that you have created a parameter on the URL called RecordID.

With that you can set the Item property of your form to : LookUp(yourDataList, ID=Value(Param("RecordID")))

 

Now, that is easy enough, but you might want to consider something more secure.  If your email url has a link that has something like ?RecordID=1 then anyone could simply modify the url and change to some other ID.

I'd recommend using a GUID as your record identifier.  But either way, the above on your Item property is what you are looking for.

You don't need patch, you just need to make sure your edit form is using the correct record.

So, what is the Item property of your form?

The Item property is blank. I know that some solutions included something related to SharePointIntegration, but that field isn't recognized in my PowerApps form.

How are you selecting the record from your list?

Or, in other words, did you create your app as a standalone app or as a customize forms from sharepoint?

I created the app as a blank canvas and connected it to my sharepoint list as a data source.

Okay, very good.  So, what method are you using to select the record in your list, a gallery, some function, etc?

In other words, you show a record with ID 1 in your post that you want to update....how is it you are determining that record ID 1 needs to be updated?

I think that's where my issue is. I don't know where to specify that. I thought it would be done in the Item property by using a lookup function to match with the ID, but that doesn't seem to work. I have the ID as a parameter in the URL. I also have the actual ID_DataCard default value set to that parameter value.

can u send a screenshot of you power apps screen ?

Yes, it can be that, but is that the method you are going to use to select the item in the list...the URL param?

Unfortunately, I can't show you the PowerApp, but I can show you the contents of the properties.

It doesn't have to be the URL parameter. If there's another way of doing it, I am open to it. I feel like this shouldn't be a complicated thing to do. Here's a screenshot of the properties of the submit button.

 

Here's what I currently have in the properties for the Form:

I tried to use currentRecord.ID in the Item property, but I would get an error "Invalid use of ."

Summer of Solutions | Week 4 Results | Winners will be posted on July 24th

We are excited to announce the Summer of Solutions Challenge!   This challenge is kicking off on Monday, June 17th and will run for (4) weeks.  The challenge is open to all Power Platform (Power Apps, Power Automate, Copilot Studio & Power Pages) community members. We invite you to participate in a quest to provide solutions in the Forums to as many questions as you can. Answers can be provided in all the communities.    Entry Period: This Challenge will consist of four weekly Entry Periods as follows (each an “Entry Period”)   - 12:00 a.m. PT on June 17, 2024 – 11:59 p.m. PT on June 23, 2024 - 12:00 a.m. PT on June 24, 2024 – 11:59 p.m. PT on June 30, 2024 - 12:00 a.m. PT on July 1, 2024 – 11:59 p.m. PT on July 7, 2024 - 12:00 a.m. PT on July 8, 2024 – 11:59 p.m. PT on July 14, 2024   Entries will be eligible for the Entry Period in which they are received and will not carryover to subsequent weekly entry periods.  You must enter into each weekly Entry Period separately.   How to Enter: We invite you to participate in a quest to provide "Accepted Solutions" to as many questions as you can. Answers can be provided in all the communities.
